We are looking for a highly organised, analytical, and process-driven Jewellery Operations Executive with a strong interest in jewellery, diamonds, and luxury goods. In this role, you will be responsible for coordinating end-to-end order execution, working closely with manufacturers, customers, and internal teams to ensure every order progresses smoothly from quotation and pre-purchase coordination to final delivery.

The ideal candidate combines strong numerical aptitude, operational excellence, stakeholder management, and a technology-driven mindset. You should be comfortable managing multiple priorities, resolving issues proactively, and ensuring accuracy and timely execution in a fast-paced environment.

Your primary objective will be to drive accurate, timely, and scalable order execution while delivering an exceptional customer experience.

Key Responsibilities

1. Quotation and Pre-Sales Execution

- Calculate and share accurate customer quotations within defined turnaround times (TATs).
- Ensure timely responses to quotation requests to support customer satisfaction and conversion rates.
- Verify pricing calculations, margins, and order specifications before sharing quotations.

2. Order Creation and CAD Management

- Create and manage CAD requests and purchase orders with jewellery manufacturers.
- Review CAD files to ensure designs, dimensions, and specifications align with customer requirements before production.
- Identify discrepancies and potential production issues early to minimise errors and rework.
- Maintain an organised repository of CAD files and related documentation for easy access and traceability.
- Proactively coordinate with suppliers to ensure CAD files are received and approved within defined timelines.

3. End-to-End Order Tracking and Coordination

- Manage order timelines from confirmation through production, quality checks, dispatch, and final delivery.
- Coordinate with manufacturers, quality control (QC) teams, logistics partners, and internal stakeholders.
- Track key production milestones and follow up proactively to ensure on-time fulfilment.
- Maintain clear communication with relevant stakeholders regarding order status, timelines, and potential delays.

4. Exception Handling and Problem-Solving

- Coordinate remakes, repairs, resizing,

and customer-requested order modifications.
- Manage customer escalations professionally, ensuring timely resolution and clear communication.
- Investigate operational bottlenecks and resolve issues proactively to minimise delays, rework, and customer impact.
- Work collaboratively with relevant teams to identify root causes and implement corrective actions.

5. Systems Management and Data Accuracy

- Maintain accurate, real-time order updates across internal systems, spreadsheets, and operational trackers.
- Ensure complete visibility of order status, pending actions, dependencies, and delivery timelines.
- Use Excel, Google Sheets, and other operational tools to monitor performance and maintain reliable data.
- Prepare operational reports and track key performance indicators (KPIs), including turnaround times, order accuracy, and on-time delivery.

6. Process Improvement and Operational Excellence

- Identify process gaps, inefficiencies, and recurring operational challenges.
- Recommend and implement improvements to streamline workflows and reduce errors.
- Develop and maintain structured trackers, documentation, and standard operating procedures (SOPs).
- Contribute to building scalable processes that improve operational efficiency and customer experience.

What We're Looking For

Required Qualifications and Skills

- Minimum 3 years of experience in operations, order management, supply chain, or a similar execution-focused role.
- Strong proficiency in Microsoft Excel and/or Google Sheets, including advanced formulas, complex trackers, data analysis, and reporting.
- Strong numerical and analytical aptitude, with the ability to calculate quotations, margins, and order-related metrics accurately.
- Proven experience managing multiple orders, coordinating stakeholders, and meeting time-sensitive deadlines.
- Excellent organisational skills and strong attention to detail.

- Strong problem-solving skills and the ability to identify risks and resolve issues independently.
- Clear and confident written and verbal communication skills.
- Comfort working with technology, operational systems, and data on a daily basis.
- A proactive mindset with strong ownership, accountability, and follow-through.

- Experience in the jewellery, diamond, luxury goods, or manufacturing industry.
- Exposure to CAD workflows, jewellery production processes, quality control, or vendor coordination.
- Experience working in a high-volume, fast-paced operational environment.
- A genuine interest in jewellery, diamonds, and the luxury goods industry.

Industry experience is preferred but not mandatory. Candidates from other operationally intensive industries with strong execution skills and a willingness to learn are encouraged to apply.

- Are passionate about jewellery, diamonds, and luxury products.
- Are tech-forward, data-driven, and process-oriented.
- Thrive in fast-moving, detail-intensive environments.
- Enjoy coordinating with diverse stakeholders and solving operational challenges.
- Take ownership of outcomes rather than simply completing assigned tasks.
- Are eager to learn, improve processes, and grow within a scaling operations team.

- Play a key role in managing the end-to-end jewellery order lifecycle.
- Work at the intersection of jewellery craftsmanship, technology, and operations.
