Key Responsibilities

- Order processing: Process hospital purchase orders and coordinate with the Back Office Sales Executive and Senior Accountant until completion.
- Commercial terms review: Check hospital POs and contracts for pricing, payment terms, taxes, delivery and other conditions, and flag deviations before acceptance.
- Inventory management: Maintain accurate stock records, track incoming shipments, reconcile physical and system stock, and monitor slow- and fast-moving items.
- Purchase projections: Prepare demand forecasts and purchase plans for orders with European suppliers, factoring in the 2–3 month lead time, current stock and the sales pipeline.
- Import and order execution: Track shipments and import documentation with the accounts and logistics teams,



and execute pending hospital orders promptly once goods are received.
- Coordination and reporting: Keep Sales, Accounts and Logistics aligned on order status, and provide regular MIS on orders, stock and pending deliveries.
- Systems: Maintain clean, timely data in Zoho and Odoo.

Requirements

- 3–5 years of relevant experience in accounts or sales operations, ideally in medical devices, healthcare or import-based distribution
- Strong hands-on experience with Zoho and Odoo
- Fluent English, written and spoken
- Working knowledge of invoicing, GST, purchase and sales order cycles, and import documentation
- Good Excel skills and comfort with data and forecasting
- Solid attention to detail, organization and follow-through, with the ability to work across teams

Preferred

- Experience in dealing with hospitals or institutional buyers
- Exposure to import/customs processes and international supplier coordination
- Graduate in commerce, accounting or a related field (B.Com/M.Com preferred)
