Work Arrangement: Approximately 70% Office and 30% Project-Site Travel
Preferred Industries: Land Acquisition, Infrastructure, EPC, Construction, Real Estate, Power Transmission, and Project-Based Organisations
About the Company The company is a Mumbai-headquartered renewable energy EPC and land aggregation company involved in developing and executing renewable energy infrastructure projects across India.
Our operations include Wind Turbine Generator (WTG) installation and commissioning, land acquisition, right-of-way (ROW) coordination, 33kV transmission lines, solar energy projects, and Battery Energy Storage Systems (BESS).
With approximately 130 employees and active project sites across Karnataka, Maharashtra, Madhya Pradesh, and Andhra Pradesh, EPIPL works with multiple stakeholders to execute renewable energy and infrastructure projects.
About the Role
We are looking for a proactive, detail-oriented, and highly accountable Project Coordinator to independently coordinate land acquisition and renewable energy infrastructure projects across multiple locations.
The selected candidate will primarily manage end-to-end land acquisition project coordination (approximately 90% of the role), with additional responsibility for monitoring wind turbine installation and commissioning projects and ensuring timely client billing (approximately 10%).
The role involves coordinating with field teams, tracking land parcels and project milestones, working with Google Earth Pro and KMZ/KML maps, verifying site progress, managing vendors, preparing quotations, maintaining project documentation, and coordinating client billing.
This is an individual contributor position requiring someone who can independently investigate project issues, verify information, follow up with stakeholders, identify delays, and drive activities towards completion.
We are not looking for someone who simply collects project updates and forwards them to management. We need someone who takes ownership, verifies information, identifies problems, and ensures timely resolution.
Key Roles & Responsibilities
1. Land Acquisition Project Coordination & Tracking
- Independently coordinate end-to-end land acquisition activities across multiple project locations.
- Work closely with field teams to monitor land identification, owner negotiations, documentation, agreements, registration, and handover.
- Maintain accurate parcel-wise trackers containing survey numbers, landowners, land extent, negotiated prices, acquisition stages, and payment status.
- Track land acquisition targets, progress, pending documentation, registrations, and expected completion dates.
- Verify reported land acquisition progress against supporting documents, maps, and project requirements.
- Identify delays involving landowners, documentation, pricing, registrations, or other project dependencies and coordinate corrective actions.
- Monitor land acquisition costs against approved budgets and flag deviations.
- Ensure project management receives accurate and verified updates rather than unconfirmed field reports.
2. Google Earth Pro, KMZ/KML Mapping & Land Verification
- Use Google Earth Pro to review, create, edit, and maintain KMZ/KML files for land acquisition projects.
- Identify and mark land parcels, survey boundaries, access roads, project locations, and overlapping land areas.

- Maintain an updated master KMZ file reflecting the acquisition status of individual land parcels.
- Cross-check field team updates against maps, survey information, and available documentation.
- Coordinate with surveyors and field teams to resolve mapping discrepancies and verify land measurements.
- Support project planning and reporting through accurate maps, parcel layouts, and location-based information.
3. Transmission Line Right-of-Way (ROW) Coordination
- Coordinate land-related requirements for transmission line projects of 33kV and above.
- Understand transmission line route alignments, tower locations, ROW corridors, and land access requirements.

- Identify alternative alignment or tower-placement possibilities where land acquisition or ROW issues delay progress, coordinating their review with the relevant project stakeholders.
- Maintain clear trackers for pending ROW permissions, compensation, agreements, and project constraints.
4. Land Documentation, Agreements & Registration Coordination
- Collect, organise, and verify land-related documents received from field teams and landowners.
- Coordinate with title advocates, documentation agencies, surveyors, and other relevant stakeholders.
- Track document collection, title verification, agreement preparation, registration schedules, and land handover.
- Maintain organised records of landowners, survey numbers, ownership details, and pending documentation.
- Identify missing documents, ownership discrepancies, co-owner issues, and other gaps requiring clarification.
- Follow up with responsible stakeholders to ensure documentation and registration activities are completed within planned timelines.
- Maintain project-wise documentation trackers and ensure required records are available for internal and client review.
5. RFQ, BOQ,
Costing & Quotation Preparation
- Review client Requests for Quotation (RFQs), Bills of Quantities (BOQs), and project scope documents.
- Understand project requirements, quantities, specifications, deliverables, and commercial assumptions.
- Coordinate with vendors and internal stakeholders to obtain competitive rates for project activities.
- Collect and compare at least three vendor quotations for procurement and service requirements.
- Prepare detailed Excel-based costing sheets covering quantities, vendor rates, overheads, margins, and other relevant expenses.
- Prepare accurate client quotations, including scope assumptions, exclusions, and commercial details, for Director review and approval.
- Identify missing scope information, pricing discrepancies, and commercial risks before quotations are finalised.
- Support project estimation and commercial documentation through accurate calculations and records.
6. Vendor Development, Negotiation & Management
- Identify, onboard, and maintain a reliable vendor network across project districts and locations.
- Coordinate with land surveyors, DGPS/drone survey agencies, title advocates, documentation agents, liaison service providers, and local transport vendors.
- Source vendors through local market research, references, existing networks, and field team recommendations.
- Obtain quotations, compare rates, evaluate vendor capabilities, and negotiate commercial terms.
- Assess vendors based on pricing, experience, capacity, service quality, and previous performance.
- Maintain updated vendor databases with contact details, service capabilities, rates, and past performance.
- Coordinate vendor assignments, deadlines, deliverables, and payment-related documentation.
- Resolve vendor-related issues and ensure timely completion of assigned services.

- Review site progress reports against project plans, previous updates, and expected milestones.
- Identify discrepancies, delays, resource constraints, and other factors affecting project execution.
- Follow up with site teams to understand the causes of delays and their impact on timelines and costs.
- Track important project milestones and coordinate documentation required for billing.
- Maintain records of site-related issues, idle time, project progress, and pending client approvals.
- Provide concise, verified project status updates to management.
This responsibility focuses on project coordination, milestone monitoring, and billing rather than technical supervision of wind turbine installation. 8. Client Billing, Measurement Verification & Receivables Coordination
- Monitor project billing milestones and ensure invoices are initiated without unnecessary delays.
- Review and verify measurement sheets, work quantities, completion records, and supporting project documentation.
- Coordinate with field teams and clients to obtain measurement approvals and required sign-offs.
- Prepare and coordinate milestone-based billing for land acquisition and project activities.
- Ensure fixed monthly billing for applicable WTG contracts is processed on schedule.
- Maintain accurate billing trackers covering completed milestones, pending invoices, client approvals, payments received, and outstanding amounts.
- Coordinate with accounts and relevant stakeholders to resolve documentation or approval issues affecting invoicing.
- Monitor receivables against applicable MSME 45-day payment terms and follow up on overdue payments.
- Highlight billing delays, documentation gaps, and outstanding receivables to management.
9. Project Monitoring, Reporting & Stakeholder Coordination
- Act as the central coordination point between the Mumbai head office, field teams, vendors, clients, and management.
- Collect, analyse, and verify daily and weekly project progress information.
- Maintain structured Excel trackers for project milestones, parcel acquisition, ROW status, vendor deliverables, billing, and outstanding activities.
- Compare actual project progress against planned targets and identify delays or discrepancies.
