: Production & Operations Manager

Role Overview The role is responsible for the complete planning, technical execution, and production management of events.

The role demands comprehensive knowledge of event production, fabrication, technical systems, materials, venue, procurement, budgeting and on-ground execution. The individual must independently evaluate production requirements, recommend technical solutions, prepare execution plans, and lead production decisions without depending on vendors for technical guidance or execution strategy.

The ideal candidate should be capable of managing multiple projects simultaneously, working under tight timelines, and handling overnight installations and event setups whenever required.

KEY RESPONSIBILITIES

Brief Analysis & Production Planning

Understand briefs and translate concepts into technically feasible production plans.

Prepare detailed production requirement checklists and execution roadmaps.

Develop Bills of Quantities (BOQs) covering fabrication, branding, AV, décor, electricals, furniture, logistics, and event infrastructure.

Prepare detailed production schedules, setup timelines, dismantling plans, and execution milestones.

Plan production requirements proactively while anticipating operational challenges and technical constraints.

Technical Planning

Possess complete technical knowledge of event production, including staging, trussing, rigging, LED systems, lighting, audio, video, power distribution, electrical planning, structures, fabrication techniques, branding systems, and event infrastructure.

Prepare technical layouts covering stage positioning, LED placement, cable routing, power distribution, branding locations, audience flow, backstage operations, and engagement zones.

Conduct technical feasibility & checks before production begins.

Work closely with the design team to ensure concepts are practical, structurally sound, cost-effective, and executable.

Fabrication & Event Infrastructure

Plan, supervise, and execute fabrication of stages, backdrops, exhibition booths,



kiosks, experiential installations, any other branding structures, and décor elements.

Recommend appropriate production materials, finishes, fabrication methods, and structural solutions.

Ensure fabrication quality, safety, durability, and finishing standards throughout production.

Costing, Budgeting & Procurement

Prepare detailed production cost estimates and budgets.

Source quotations, negotiate commercial terms, and optimize costs while maintaining quality.

⁠Identify and procure all materials, rentals, technical equipment, fabrication requirements, branding elements, décor, furniture and event infrastructure.

Maintain complete ownership of production procurement from planning through delivery.

Vendor Management

Develop and manage a reliable network of fabrication, AV, lighting, sound, printing, logistics, décor, venue, rental, and technical vendors.

Evaluate vendors based on capability, pricing, quality, and delivery timelines.

Monitor vendor performance and ensure timely execution of deliverables.

Direct vendors based on internal production plans rather than relying on vendor recommendations.

Venue Knowledge & Coordination

Possess strong knowledge of corporate venues, hotels, convention centres, exhibition spaces, outdoor venues, and event infrastructure.

Conduct venue recce to assess loading access, rigging points, ceiling heights, electrical capacity, staging feasibility, backstage movement, emergency exits, and technical infrastructure.

Recommend production methodologies best suited for each venue.

Technical Coordination

Coordinate all technical production including LED walls, projection systems, sound reinforcement, lighting rigs, presentation systems, networking requirements,



show control, and electrical distribution.

Conduct technical rehearsals, cue-to-cue testing, presentation testing, sound checks, and equipment validation before show time.

Event Logistics

Plan transportation, warehousing, dispatch schedules, loading, unloading, installation, and movement of production materials and technical equipment.

Coordinate manpower deployment and equipment scheduling for efficient event setup.

Event Execution

Lead complete on-ground production and technical execution.

Supervise fabrication teams, technicians, electricians, AV engineers, riggers, carpenters, installers, logistics personnel, and production crew.

Ensure all production, branding, and technical elements are installed and operational before event commencement.

Resolve technical and operational issues in real time during setup and live events.

Show Flow & Cue Management

Prepare detailed production schedules, show flow documents, cue sheets, technical running orders, and execution timelines.

Coordinate closely with client servicing, creative, design, and technical teams to ensure seamless event delivery.

Ensure every production activity is pre-planned with clearly defined responsibilities and execution timelines.

Innovation & knowledge on trends

Stay updated on recent production technologies, fabrication techniques, experiential formats, materials, equipment, and industry trends.

Recommend innovative production solutions that improve efficiency, quality, and audience experience.

Risk Management & Compliance

Ensure compliance with venue regulations, safety standards, structural guidelines, and operational best practices.

Identify production risks in advance and implement contingency plans to ensure uninterrupted execution.

Post-Event Responsibilities

Supervise dismantling, material recovery, venue clearance, and return of hired equipment.

Complete vendor closures and production reconciliations.

- Prepare post-event reports, operational reviews, and recommendations for process improvements.
