About us
Shilpa Stainless is a family-run stainless steel cookware manufacturer with over 50 years of manufacturing heritage. We make 1,200+ products and sell under our consumer brand Praylady across our own website, marketplaces, modern trade, distributors and export markets. Alongside what we manufacture, we source a growing range of finished goods and accessories (handles, lids, gaskets, knobs, packaging and traded products) from vendors across India.
Role summary
You will manage our vendors for finished goods and accessories from start to finish: find and onboard new vendors, keep a clean vendor database, place purchase orders, and follow up until every order arrives on time, in full and at the agreed quality and price.
Key responsibilities
1. Vendor database and onboarding
- Build and maintain a complete vendor database: contact details, products and capacities, prices, MOQs, lead times, payment terms, GSTIN, PAN, MSME/UDYAM status and bank details
- Find current vendors through references, trade fairs, IndiaMART, TradeIndia and industry contacts
- Onboard new vendors: collect KYC and GST documents, agree commercial terms, get samples approved and set them up in our system
- Keep vendor records and price lists up to date and organised by category (finished goods, accessories, packaging)
2.
Purchase orders
- Prepare and place purchase orders based on requirements from sales, production and stores
- Make sure each PO has the correct item specs, quantity, price, GST, delivery date, delivery location and payment terms
- Get quotations from at least two or three vendors where possible and compare price, quality and lead time
- Keep a PO tracker showing open, partly received and closed orders
3. Vendor follow-up
- Follow up with vendors regularly from PO to delivery: production status, dispatch dates, transport and documents
- Flag delays early to the Director and the sales/operations teams, and push vendors for recovery plans
- Coordinate with stores and quality on goods receipt, inspection, short supply, damage and rejections, and arrange replacements or debit notes
- Make sure invoices, e-way bills and delivery challans match the PO before passing them to accounts
4. Vendor management
- Build good working relationships with vendors while protecting the company's interest on price, quality and timelines
- Support price negotiations and annual rate reviews
- Track vendor performance: on-time delivery, quality, price consistency and responsiveness
- Coordinate with accounts on vendor payments as per agreed terms, including MSME payment timelines
5. Reporting
- Weekly report on open POs, delays, pending deliveries and vendor issues
- Monthly purchase summary by vendor and category
Must-have skills
- 1–4 years in purchase or procurement, ideally in manufacturing, consumer goods or cookware
- Experience placing POs and following up with vendors
- Good working knowledge of Excel / Google Sheets; familiarity with Tally or an ERP
- Basic understanding of GST invoices, e-way bills and delivery documents
- Clear communication in English and Tamil; Hindi or Gujarati is a plus
- Organised, persistent and comfortable making many follow-up calls a day
Good to have
- Experience sourcing stainless steel, kitchenware, plastic or packaging components
- Experience using IndiaMART or TradeIndia to find vendors
- Graduate in commerce, business or engineering; supply chain coursework is a plus
What success looks like in the first year
- A complete, up-to-date vendor database for all finished goods and accessories within 3 months
- Every PO tracked from placement to receipt, with no orders missing follow-up
- Fewer delayed deliveries and faster resolution of short supply and quality issues
- At least 2–3 approved vendors for each key item to reduce dependence on a single supplier
Compensation
Competitive and based on experience. To be discussed at interview.
