Key Responsibilities

Identify, onboard, and manage outsourcing vendors, ensuring contracts, rate cards, security requirements, and scopes of work are in place before project allocation.

Coordinate with vendors to ensure timely delivery of shots and assets as per production schedules.

Monitor vendor output to ensure quality standards are met with minimal rework.

Track outsourcing costs against approved POs and budgets, identifying cost overruns and change requirements early.

Ensure vendors follow the required technical specifications, file formats, and delivery standards for smooth integration into the ShortGrid pipeline.

Allocate work across vendors based on capacity, expertise, quality, timelines, and budget.

Maintain effective communication and ensure timely feedback and quick review cycles.

Ensure vendors follow information security protocols, secure file transfers, data access controls, and content-tracking procedures.

Build strong vendor relationships and continuously evaluate vendor performance, reliability, and delivery efficiency.

Work closely with internal production, QC, pipeline,



and finance teams to resolve outsourcing-related challenges.

Required Skills & Experience

Strong experience in outsourcing and vendor management within the VFX or media production industry.

Good understanding of VFX production workflows and project delivery requirements.

Experience in vendor onboarding, commercial negotiations, rate finalization, and cost management.

Solid knowledge of production planning, resource allocation, and delivery tracking.

Understanding of quality control processes and technical delivery requirements.

Excellent communication, negotiation, and stakeholder management skills.

Ability to manage multiple vendors and projects while meeting deadlines and budgets.

Strong problem-solving and decision-making abilities.
