Executive Assistant to Director & CEO
Designation: Executive Assistant
Reports to: Director & CEO
Location: SP Ring Road, Shantipura near shella-Bopal Road, Ahmedabad
Industry: Manufacturing / Surgical
Job Purpose
To provide high-level executive, administrative, and strategic support to the Director & CEO, ensuring seamless coordination of business operations, effective communication with stakeholders, and efficient management of organizational priorities.
Key Responsibilities
· Executive Support & Calendar Management:
- Manage the Director & CEO’s calendar, prioritize appointments, and ensure smooth scheduling.
- Coordinate complex travel itineraries, visas, logistics, and expense management.
· Stakeholder & Communication Management:
- Act as the single point of contact for internal and external stakeholders.
- Draft,
review, and handle confidential correspondence with utmost discretion.
- Maintain effective communication flow across departments.
· Meetings & Documentation:
- Organize and manage internal/external meetings, events, and conferences.
- Prepare high-quality presentations, reports, briefing notes, and meeting minutes.
- Track action points and ensure timely follow-ups.
· Operational & Administrative Support:
- Maintain filing systems, databases, and documentation processes.
- Screen emails, calls, and inquiries, escalating priority matters.
- Support in R&D; inquiries, vendor coordination, and occasional field visits.
- Assist in organizing annual events, client hospitality, and company functions.
· Strategic & Ad-hoc Support:
- Conduct research and provide inputs for decision-making.
- Handle ad-hoc assignments with flexibility and accountability.
Candidate Profile
· Graduate/post-graduate;
certifications in Administration/Secretarial practices preferred.
· Excellent communication skills in English, Hindi & Gujarati (verbal & written).
· Proficient in MS Office Suite, Google Workspace, and digital collaboration tools.
· Strong organizational, multi-tasking, and time-management abilities.
· Professional, presentable, and tactful with strong interpersonal skills.

· Proactive, resourceful, and solution-oriented approach.
· Ability to work independently under pressure and meet deadlines.
· Flexible to work extended/odd hours when required.
