Job OverviewWe are looking for a skilled, proactive, and ownership-driven Zoho CRM & Marketing Automation Specialist who can independently set up, manage, optimize, and drive Zoho CRM and its connected applications end-to-end.The ideal candidate must have hands-on experience in implementing and managing Zoho CRM, Zoho Marketing Automation, Zoho Forms, Zoho Campaigns, Zoho Flow, Zoho SalesIQ / Zia Chatbot, dashboards, workflows, integrations, and automation systems.This role requires someone who can understand business requirements, convert them into scalable Zoho systems, automate repetitive processes, improve sales and marketing workflows, manage lead journeys, and ensure smooth data flow across the Zoho ecosystem.Key Responsibilities1. End-to-End Zoho CRM Setup & Management

- Set up, configure, maintain, and optimize Zoho CRM from scratch or existing systems
- Manage CRM modules including Leads, Contacts, Accounts, Deals, Tasks, Notes, Activities, and custom modules
- Customize layouts, fields, pipelines, workflows, assignment rules, validation rules, approvals, and blueprints
- Build scalable CRM structures based on sales, marketing, operations, and management requirements
- Ensure proper lead capture, lead routing, lead qualification, and deal tracking
- Maintain clean, accurate, and structured CRM data
- Manage users, roles, profiles, permissions, and access controls
- Create dashboards, reports, automation rules, and business process flows

2. Zoho Marketing Automation, Campaigns & Lead Nurturing

- Set up and manage Zoho Marketing Automation for lead journeys, segmentation, nurturing, and engagement tracking
- Create automated email journeys, drip campaigns, lead scoring, behavior-based workflows, and follow-up sequences
- Set up and manage Zoho Campaigns for email marketing, newsletters, promotional campaigns, and audience segmentation
- Sync leads and contacts between Zoho CRM, Zoho Campaigns, and Zoho Marketing Automation
- Track campaign performance, email engagement, lead activity, and conversion metrics
- Build lead nurturing systems from inquiry to sales-qualified lead
- Coordinate with marketing and sales teams to improve campaign-to-conversion workflows

3. Zoho Forms, Website Lead Capture & Data Flow

- Create and manage Zoho Forms for website inquiries, landing pages, internal processes, and data collection
- Integrate Zoho Forms with Zoho CRM, Zoho Campaigns, Zoho Marketing Automation, and other Zoho apps
- Set up automated form submissions, lead assignment, notifications, tagging, and follow-up workflows




- Ensure accurate data mapping between forms and CRM fields
- Manage lead capture from websites, ad campaigns, landing pages, and external sources

4. Zia Chatbot / Zoho SalesIQ Setup & Automation

- Set up and manage Zoho SalesIQ and Zia Chatbot for website visitor engagement and lead capture
- Configure chatbot flows, visitor tracking, chat routing, FAQs, lead qualification questions, and automated responses
- Integrate chatbot leads and conversations with Zoho CRM
- Track chatbot performance, lead quality, visitor behavior, and engagement insights
- Improve chatbot workflows to support sales, support, and marketing objectives

5. Workflow Automation & Process Optimization

- Build smart workflows using Zoho CRM workflows, Blueprints, Zoho Flow, assignment rules, approval processes, and automation tools
- Automate repetitive sales, marketing, support, and operational tasks
- Create automated follow-ups, reminders, alerts, internal notifications, task creation, and lead nurturing systems
- Identify process gaps and recommend automation improvements
- Build scalable systems that improve transparency, speed, accountability, and operational efficiency
- Use AI-powered features and smart automation tools within the Zoho ecosystem wherever applicable

6. Zoho Ecosystem Integration & Management

- Connect and manage integrations between Zoho CRM and applications such as:
- Zoho Marketing Automation
- Zoho Campaigns
- Zoho Forms
- Zoho SalesIQ / Zia Chatbot
- Zoho Flow
- Zoho Desk
- Zoho Analytics
- Integrate Zoho CRM with websites, landing pages, ad platforms, email tools, and third-party applications
- Support API-based integrations, webhooks, data mapping, and automation between systems
- Ensure smooth data flow and minimal manual dependency across platforms

7. Sales, Marketing & Operational ReportingBuild dashboards and reports for:

- Lead source performance
- Website and form inquiries
- Campaign performance
- Email engagement
- Lead nurturing status
- Sales pipeline tracking
- Conversion rates
- Team activity tracking
- Revenue and invoicing updates
- Marketing ROI
- Operational KPIs and management insights

8. Internal Collaboration & System Ownership

- Work closely with Sales, Marketing, Operations, Support, and Management teams




- Understand department-level requirements and convert them into Zoho workflows
- Take complete ownership of Zoho CRM and related applications
- Train internal users on Zoho CRM processes, dashboards, and workflows
- Troubleshoot CRM, automation, campaign, form, chatbot, and integration issues
- Continuously improve system performance, adoption, and usability

Required Skills
- 3+ years of hands-on experience with Zoho CRM and related Zoho applications
- Proven experience in setting up and managing Zoho CRM end-to-end
- Hands-on experience with Zoho Marketing Automation, Zoho Campaigns, Zoho Forms, Zoho Flow, and Zoho SalesIQ / Zia Chatbot
- Strong knowledge of CRM workflows, Blueprints, automation rules, lead routing, lead scoring, and pipeline management
- Experience in setting up email campaigns, marketing journeys, drip campaigns, and lead nurturing workflows
- Experience integrating forms, websites, landing pages, and third-party tools with Zoho CRM
- Ability to create custom modules, dashboards, reports, user roles, profiles, and permissions
- Basic to intermediate knowledge of Deluge scripting preferred
- Experience with APIs, webhooks, data mapping, and third-party integrations preferred
- Solid understanding of sales, marketing, and operational workflows
- Strong analytical, troubleshooting, and problem-solving skills
- Good written and spoken English

Preferred Skills
- Experience with Zoho Books, Zoho Desk, Zoho People, Zoho Creator, Zoho Analytics, or Zoho Payroll
- Experience working in automation-heavy, startup, or fast-paced business environments
- Understanding of digital marketing, lead generation, campaign tracking, and customer journey automation
- Experience with website forms, landing page integrations, Google Ads / Meta lead forms, and marketing data sync
- Ability to document processes, train teams, and improve CRM adoption
