Job Title: Assistant Operations Manager

We are hiring an Assistant Operations Manager with hands-on experience in medical transcription/editing to manage real-time workflow, team coordination, and client delivery.

This role requires high ownership, quick decision-making, and round-the-clock responsibility, as we serve US-based healthcare clients.

Location: AHMEDABAD (looking for candidate who resides in Ahmedabad or is will to re-locate to Ahmedabad)

Key Responsibilities

1) Real-Time Workflow Handling

- Assign files to team members continuously throughout the day
- Manage urgent and priority jobs (including late-night assignments)
- Ensure smooth flow from FTP → transcription → editing → delivery
- Step in personally if work is stuck or delayed

2) 24/7 Operational Availability (Critical Requirement)

- Be available on-call at all times for urgent issues
- Handle late-night file arrivals from US doctors
- Assign work immediately to maintain turnaround time (TAT)
- Respond quickly to operational or client-related problems

3) US Shift & Holiday Alignment

- Be available during US working hours (including night shifts in India)
- Follow US holiday calendar instead of Indian holidays
- Ensure uninterrupted operations even during Indian holidays

4) Team Management (Hands-On)

- Supervise transcriptionists and editors
- Balance workload based on individual capability
- Handle absenteeism, delays, and workload spikes
- Ensure continuous productivity across shifts

5) Quality & Accuracy Control

- Monitor output quality regularly
- Have extensive experience is quality control and editing
- Identify errors in medical terminology and formatting
- Maintain client-specific standards
- Guide team for continuous improvement

6) Problem Solving (Daily Operations)

- Resolve issues such as:
- Incorrect file names / patient mismatch
- Poor audio quality
- Missing or delayed files
- FTP / folder errors
- Take immediate decisions without escalation delays

7)



Client & File Management

- Manage multiple client FTPs and folder systems
- Ensure correct file handling and naming conventions
- Prevent data mix-ups across clients
- Maintain strict confidentiality (HIPAA awareness preferred)

8) Reporting & Tracking

- Track daily:
- Files processed
- Lines completed
- Pending workload
- Employee productivity
- Update dashboard/system accurately

Mandatory Requirements (Non-Negotiable)

- Hands-on experience in Medical Transcription or Editing (DMT/VRE)
- Must have worked on actual transcription files
- Strong understanding of:
- Medical terminology
- Formatting standards
- End-to-end workflow

Core Skills Required

- Ability to handle high-pressure, real-time operations
- Strong multitasking and decision-making skills
- Team handling with practical understanding
- High attention to detail
- Basic technical skills:
- FTP
- Google Drive
- MS Word

Ideal Candidate Profile

- Someone who has grown from transcriptionist/editor to a leadership role and have work experience of 8+ years
- Can manage team and also step into work when required

What We Do NOT Want

- Pure managers with no hands-on experience
- Candidates who cannot handle 24/7 responsibility
- People who avoid night shifts or urgent work

Salary Range (India)

₹40,000 – ₹50,000/month (based on experience and capability)

Location: AHMEDABAD (looking for candidate who resides in Ahmedabad or is will to re-locate to Ahmedabad

Final Note (Very Important)

This role requires full ownership of operations, including availability outside standard hours, to ensure seamless service for US healthcare clients.

Job Types: Full time, Permanent

Pay: ₹40,000.00 - ₹50,000.00 per month
