MRD IN-CHARGE

Job Summary
We are looking for an experienced and responsible MRD In-Charge to manage the day-to-day operations of the Medical Records Department and ensure accurate, complete, confidential, and timely maintenance of patient medical records in accordance with hospital policies and applicable standards.
Key Responsibilities
- Manage the overall day-to-day functioning of the Medical Records Department.
- Ensure proper collection, checking, filing, indexing, scanning, storage, retrieval, and maintenance of patient medical records.
- Ensure medical records are complete and properly documented before final filing.
- Monitor timely receipt of records from wards, OPD, Emergency, OT, and other clinical departments.
- Coordinate with doctors, nursing, billing, insurance/TPA, and other departments for completion of medical records.
- Maintain confidentiality and security of patient medical information.
- Ensure proper numbering, tracking, retention, and disposal of medical records as per hospital policy.
- Maintain both physical and electronic medical records and ensure data accuracy in the HIS/EMR system.
- Conduct regular medical record audits and identify deficiencies in documentation.
- Follow up with concerned departments/doctors for incomplete or missing documentation.
- Ensure compliance with NABH requirements and hospital policies related to medical records.
- Maintain departmental registers, statistics, MIS, and reports.
- Prepare records and documentation required for internal and external audits.
- Handle requests for medical records from authorized patients, departments, insurance/TPA, legal authorities, and other approved sources as per policy.
- Ensure proper handling of medico-legal records and maintain required documentation.
- Supervise, guide, and allocate duties to MRD staff.
- Monitor staff attendance, work allocation, productivity, and discipline.
- Train staff on medical record procedures, confidentiality, documentation standards, and hospital policies.
- Identify process gaps and implement improvements for effective record management.
- Ensure proper housekeeping, safety, and secure storage of medical records.
- Report important issues, deficiencies, and departmental performance to the management.
Qualification
- Diploma/Degree in Medical Records Technology / Health Information Management / Hospital Administration or a related field.
- 5–10 years of experience in Medical Records/MRD operations in a hospital.
- Experience in a multispecialty or super-specialty hospital is preferred.
Required Skills
- Good knowledge of medical terminology and hospital documentation.
- Knowledge of NABH medical record requirements.
- Good computer skills and experience with HIS/EMR.
- Strong attention to detail and record-keeping skills.
- Good communication and coordination skills.
- Ability to supervise and manage a team.
- High level of confidentiality and professionalism.
