About the Role
We are looking for a GeM Portal & Tender Executive who can independently manage day-to-day GeM portal activities and government tender operations.
The candidate will be responsible for identifying relevant government opportunities, managing the GeM seller profile and catalogue, preparing and submitting bids, coordinating technical/commercial documentation, participating in Reverse Auctions, and tracking orders through execution and payment.
The ideal candidate should have practical experience with GeM, e-tendering, government procurement processes, tender documentation and MS Excel.
Key Responsibilities1. GeM Portal Management
- Manage and regularly monitor the company's GeM Seller Profile.
- Search and identify relevant GeM bids, tenders and procurement opportunities.
- Manage product/service catalogues, including product listing, modification and documentation.
- Monitor GeM notifications, bid requirements, amendments and deadlines.
- Maintain updated company, product and compliance information on the portal.
1. Tender & Bid Management
- Study tender documents, eligibility criteria, specifications, BOQ and commercial requirements.
- Evaluate tenders and prepare an internal Bid / No-Bid recommendation.
- Prepare and submit technical and commercial bids within stipulated deadlines.
- Prepare tender forms, declarations, undertakings, compliance sheets and other required documents.
- Coordinate with management, technical, sales, accounts and vendors/OEMs to collect required documents and quotations.
- Ensure complete compliance with tender eligibility and submission requirements.
1. GeM Bid & Reverse Auction
- Handle GeM Bid participation and submission.
- Coordinate and participate in Reverse Auction (RA) processes as per management-approved pricing.
- Track bid status, competition, results and award outcomes.
- Coordinate with management for pricing, negotiation and commercial decisions.
1. Order & Project Coordination
- Track GeM Purchase Orders / orders and coordinate post-order activities.
- Coordinate with procurement, vendors, production/technical and site teams for order execution.
- Coordinate dispatch, installation, testing, commissioning and documentation wherever applicable.
- Coordinate with accounts for invoices, payment documentation and receivables.
- Track order completion and required government documentation.
1. Government Communication
- Coordinate with government departments, GeM buyers and officials regarding tender-related requirements.
- Respond to buyer queries and clarification requests in coordination with management/technical teams.
- Track tender amendments, corrigendums, deadlines and other key updates.
1. Documentation & MIS
- Maintain an organised database of all ongoing, submitted, awarded and unsuccessful tenders.
- Maintain tender-wise documentation and submission records.
- Prepare regular tender pipeline and status reports.
- Maintain trackers for bids, EMDs, BGs, POs, orders, invoices and payments.
- Ensure confidentiality and accuracy of company and tender documents.
Required Skills
- Practical working knowledge of Government e-Marketplace (GeM).
- Experience in government tenders / e-tendering.
- Knowledge of GeM Bid and Reverse Auction processes.
- Good understanding of technical and commercial bid documentation.
- Knowledge of BOQ, EMD, tender fees, Performance Security / BG and eligibility documents.
- Strong MS Excel and documentation skills.
- Good written and verbal communication.
- Strong attention to detail and deadline management.
- Ability to coordinate with multiple internal teams, vendors and government buyers.
- Ability to independently manage multiple tenders simultaneously.
Qualification Graduates preferred. Candidates from B.Com, BBA, MBA, B.Tech or other relevant backgrounds may apply.
Practical GeM and tender experience will be given more importance than qualification alone.
