Position 1: Executive/Senior Executive - Vessel Accounts

Location: Chennai, India

Experience: 2-5 years

Qualification: B.Com/M.Com

Job Summary The Vessel Accounting Executive will be responsible for vessel financial reporting, fund requests, cash management, balance sheet reconciliations, ageing management, and coordination with vessel owners. The role requires solid accounting knowledge, attention to detail, and the ability to manage multiple activities while ensuring accurate and timely financial reporting.

Key Responsibilities

1. Vessel Financial Reporting

- Prepare and share periodic vessel financial reports with vessel owners in accordance with agreed reporting timelines and formats.
- Ensure accuracy, completeness, and timely submission of vessel financial information.
- Coordinate with internal teams to obtain required financial data, invoices, supporting documents, and explanations.
- Review reports for accuracy and consistency before submission to owners.
- Respond to owner queries relating to vessel expenses, accounting entries, financial reports, and other accounting matters.
- Ensure owner-specific reporting requirements are consistently followed.

1. Fund Requests & Cash Management

- Prepare and raise fund requests for vessel-related expenses, including Budgeted expenses, Non-budgeted expenses, Pre-delivery expenses, Dry-dock expenses
- Ensure fund requests are accurate, complete, and supported by appropriate documentation and approvals.
- Coordinate with relevant stakeholders and vessel owners to ensure timely approval and receipt of funds.
- Monitor outstanding fund requests and proactively follow up on pending items.




- Ensure fund requirements are communicated to owners within agreed timelines.
- Maintain appropriate records and supporting documentation for fund requests and cash movements.

1. New Vessel Takeovers & Owner Coordination

- Liaise with vessel owners during the takeover of new vessels to understand their accounting, reporting, and financial requirements.
- Coordinate with internal teams during the vessel takeover process to ensure a smooth transition of accounting activities.
- Understand and document owner-specific accounting requirements, reporting formats, timelines, approval processes, and fund management procedures.
- Ensure agreed owner requirements are effectively communicated to relevant internal teams and implemented.
- Support the finance team in establishing accounting processes and controls for newly taken-over vessels.

1. Balance Sheet Schedules & Ageing Management

- Prepare monthly balance sheet schedules and reconciliations for assigned vessels.
- Review outstanding and ageing items and identify discrepancies, unreconciled balances, and long-pending transactions.
- Follow up proactively with relevant departments and stakeholders for resolution of ageing items.
- Ensure timely clearance and proper accounting treatment of outstanding balances.
- Maintain accurate supporting schedules and documentation for audit and management review.
- Highlight significant or long-outstanding items to management and ensure appropriate action is taken.




- Support month-end and year-end closing activities as required.

1. Customer Service & Owner Satisfaction

- Ensure customer/owner satisfaction by responding to queries in a timely, professional, and accurate manner.
- Understand customer requirements and provide clear and appropriate responses within agreed timelines.
- Coordinate with relevant internal teams to obtain accurate information and resolve customer queries effectively.
- Proactively follow up on pending issues and keep customers informed of progress until resolution.
- Build and maintain positive working relationships with vessel owners and other key stakeholders.
- Escalate critical or unresolved matters to management in a timely manner.

Required Qualification & Experience
- Bachelor of Commerce (B.Com) Master of Commerce (M.Com) from a recognized university.
- 2-5 years of relevant experience in accounting or finance.
- Experience in vessel accounting, shipping finance, or maritime accounting will be an added advantage.
- Good understanding of accounting principles, reconciliations, financial reporting, and general ledger activities.
- Working knowledge of MS Excel and accounting/ERP systems.
- Good communication and interpersonal skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and meet reporting deadlines.
- Good analytical and problem-solving skills.
- Ability to coordinate effectively with internal teams and external stakeholders.
