As a key member of the Global EHS & Facilities function this role will drive operational excellence maintain a highquality work environment and support Fluences mission by ensuring that our teams have a safe efficient and inspiring place to work.

Role Overview and Responsibilities

- The Facility Manager is responsible for the efficient reliable and employeecentric operation of the Global Innovation Centre (GIC) office in India. This role ensures seamless daytoday functioning of the workplace manages building and vendor relationships oversees lease and compliance administration and delivers a highquality office experience that supports Fluences culture of innovation collaboration and operational excellence.
- The Facility Manager acts as the primary liaison with building management service providers and internal stakeholders to maintain a secure ergonomic and productive work environment.

Key Responsibilities

1. Office Operations & Workplace Experience

- Ensure smooth daily operations of the GIC office maintaining a professional welcoming and productive environment.
- Coordinate with employees to understand workplace needs and resolve facility related concerns promptly.
- Oversee reception visitor management meeting room operations and front office services.
- Manage office supplies pantry services equipment and furniture to ensure availability and upkeep.




- Support HR with onboarding logistics workspace allocation and employee engagement activities.
- Organize internal meetings events and office wide communications related to facility updates.

2. Building & Vendor Management

- Serve as the primary point of contact with building management for all operational maintenance and compliance matters.
- Monitor and resolve building issues including HVAC electrical plumbing access control and security systems.
- Manage vendor relationships for housekeeping security maintenance pantry courier and other facility services.
- Conduct periodic vendor performance reviews and ensure SLAs are consistently met.
- Oversee contract renewals negotiations and service quality improvements.

3. Lease & Compliance Administration

- Manage the office lease renewals documentation and coordination with landlords.
- Ensure compliance with building regulations statutory facility requirements and company policies.
- Maintain accurate records of contracts service agreements and facility documentation including those related to ESG.

4. Workplace Health Safety & Ergonomics (Non EHS Scope)

- Ensure ergonomic standards for workstations seating lighting and office layout.
- Coordinate ergonomic assessments and implement improvements to enhance employee comfort and productivity.
- Maintain emergency preparedness basics such as evacuation routes signage and coordination with building security.
- Support safe office practices and general workplace readiness (non technical non industrial).

5. Maintenance & Infrastructure Management

- Oversee preventive and corrective maintenance of office infrastructure equipment and utilities.
- Ensure timely repairs and minimal disruption to operations.
- Maintain documentation of maintenance activities warranties and service records.
- Lead office moves expansions and reconfiguration projects.

6. Space Planning & Workplace Optimization

- Manage seating plans workspace allocation and space utilization strategies.
- Optimize office layout to support hybrid work models collaboration zones and future growth.
- Coordinate with IT and HR on workstation setup meeting room technology and space readiness.

7. Security & Emergency Readiness

- Oversee physical security systems including access cards CCTV coordination and visitor access protocols.
- Ensure fire safety equipment emergency signage and evacuation routes are maintained in coordination with building management.
- Support basic emergency preparedness activities and drills.

8. Budgeting Procurement & Governance

- Manage facility budgets cost control and vendor payments.
- Oversee procurement of office furniture equipment pantry items and supplies.
- Develop and maintain facility SOPs administrative procedures and documentation.
- Prepare periodic reports on facility performance issues and improvements.

- 1012 years of experience in facility management office administration or workplace operations.
- Experience managing corporate office environments preferably in multinational or technology organizations.
- Strong knowledge of building operations vendor management and lease administration.
- Understanding of workplace ergonomics and office layout optimization.
- Excellent communication coordination and stakeholder management skills.
- Proficiency in MS Office and facility management tools.
- Ability to handle multiple priorities and operate independently with accountability.
