ROLE MANDATE Provide high-trust executive, administrative, coordination, documentation, communication and project-MIS support to the General Manager - Projects. The role serves as the central control point for executive-office workflow, project reviews, actions, records and cross-functional information, enabling timely decisions, disciplined governance and accurate management reporting.

REPORTING & KEY RELATIONSHIPS

Internal interfaces

General Manager - Projects; Project Management Office; Civil, Mechanical, Electrical, Instrumentation, Planning, Procurement, Contracts, Quality, Finance, EHS, HR/Admin, Commissioning and senior management offices.

External interfaces

Consultants, PMC/EPC teams, contractors, vendors, OEMs, visitors, travel/service providers and other stakeholders authorized by the General Manager.

People leadership

Individual contributor coordinating inputs from multiple functions; may guide reporting or document-control support resources without formal line authority.

INTERNAL CONTROL The manpower budget is for recruitment planning and approval control. Remove internal CTC data before publishing the JD externally.

1. Role Purpose Provide high-trust executive, administrative, coordination, documentation, communication and project-MIS support to the General Manager - Projects. The role serves as the central control point for executive-office workflow, project reviews, actions, records and cross-functional information, enabling timely decisions, disciplined governance and accurate management reporting.

Key Responsibilities

1. Manage the General Manager's calendar, priorities, appointments,



project-review cadence, travel, visits and confidential executive-office workflow.
2. Coordinate meetings end to end: confirm objectives and participants, prepare agendas and pre-reads, arrange logistics, record decisions and issue accurate Minutes of Meeting within the defined turnaround time.
3. Maintain a single action, decision and commitment tracker with clear owners and due dates; follow up respectfully, verify closure evidence and escalate critical delays before deadlines are missed.
4. Prepare executive briefs, presentations, skilled correspondence and confidential communications; ensure messages are concise, factually correct and issued through approved channels.
5. Coordinate information and responses across Civil, Mechanical, Electrical, Instrumentation, Procurement, Planning, Quality, Finance, Contracts, EHS, consultants, contractors, vendors and senior management.
6. Collect, validate and consolidate cross-functional project data, applying source ownership, cut-off discipline, reasonableness checks, reconciliation and transparent exception reporting.
7. Prepare and circulate Daily, Weekly and Monthly MIS packs, dashboards, KPI summaries, progress curves, milestone reports, manpower deployment, budget/cost tracking and procurement status reports.
8. Convert SAP/ERP, Primavera and departmental data into decision-ready Excel, Power BI and PowerPoint outputs, highlighting variances, trends, risks, overdue actions and decisions required.
9. Control project and executive-office records, including contracts, engineering documents, approvals, presentations and confidential reports, with secure access, naming conventions, revision control, retention and rapid retrieval.

10.Improve reporting templates, data-collection discipline, dashboard automation and office processes while preserving audit trails, information security and business continuity. Critical First-Year Outcomes

Candidate Profile

Minimum qualification

Bachelor's degree in Business Administration, Commerce, Economics, Engineering, Statistics, Information Technology or another relevant discipline, with strong written English, numerical and documentation capability.

Mandatory / preferred credentials

Demonstrated Advanced Excel and PowerPoint proficiency is required. Power BI, SAP/ERP, Primavera data handling and document-management training/certification are preferred.

Industry exposure

Steel/manufacturing, power, heavy industry, infrastructure, EPC/EPCM, engineering or another deadline-intensive project-office environment.

Greenfield / commissioning

Greenfield industrial-project or PMO exposure is preferred; the candidate must coordinate technical functions confidently without altering, guessing or misrepresenting source data.

Digital / software capability

Advanced Excel (PivotTables, XLOOKUP/INDEX-MATCH, formulas, data validation, charts and Power Query), Power BI, PowerPoint, Word, Outlook/Teams, SAP/ERP, EDMS/DMS and Primavera-generated data.

Functional and Leadership Competencies

16.Executive-office administration, calendar prioritization, meeting governance, travel coordination and professional correspondence.

17.Advanced Excel, Power BI, PowerPoint and management-reporting capability, including data validation and executive visual communication.

18.Project MIS, action tracking, minutes, document control, revision management and records retrieval.
