Job Summary
We are seeking an experienced Senior Purchase Executive to manage procurement activities for pharmaceutical raw materials, packaging materials, consumables, engineering items, and other operational requirements.
The candidate will be responsible for vendor development, sourcing, price negotiation, purchase order management, timely material availability, and procurement documentation, while ensuring compliance with applicable GMP, GDP, quality systems, and company SOPs.
Key Responsibilities
- Strategic Sourcing & Vendor Development: Identifying, evaluating and approving vendors for raw materials, herbal extracts, excipients and packaging materials; developing dual sources for critical items.
- Negotiation & Rate Contracts: Floating enquiries, comparing quotations and negotiating price, payment terms and delivery; concluding annual rate contracts.
- Procurement Planning: Converting the monthly production plan into material requirement plans; fixing reorder levels, safety stock and lead-time norms.
- Purchase Order Management: Reviewing, approving and releasing purchase orders; tracking order confirmations, short supplies and discrepancies through to closure.
- Import Procurement: Overseas sourcing, Incoterms, CHA and freight-forwarder coordination, import documentation, duty and customs clearance.
- Cost Optimization & Budgeting: Controlling the annual procurement budget; driving savings through alternate vendor development, value engineering and volume consolidation.
- Quality & Regulatory Compliance: Ensuring vendors meet GMP, FSSAI and AYUSH norms; obtaining CoA, MSDS, valid licences, technical agreements and statutory declarations.
- Inventory Control: ABC / FSN analysis, stock ageing, retest and expiry monitoring, and periodic reconciliation with Stores and Finance.
- Cross-functional Coordination:
Supporting R&D; / NPD on current material and trialbatch sourcing, QA / QC on vendor complaints and CAPA, and Finance on vendor payments.
- Team Leadership & MIS: Guiding and appraising purchase and stores staff; ensuring SOP adherence; submitting monthly procurement MIS, savings reports and vendor scorecards.

- Category Knowledge: Nutraceutical actives, standardized herbal extracts, excipients and printed / non-printed packaging materials.
- Commercial Acumen: Landed-cost and should-cost working; GST, customs duty, freight and forex impact on material cost.
- Negotiation & Vendor Audit: Proven negotiation ability, with skill to qualify vendors and conduct on-site vendor audits.
- Inventory Management: EOQ, ABC / FSN / VED classification, safety stock, cycle counting and stock reconciliation.
- Regulatory Awareness: Working knowledge of GMP, Schedule M, FSSAI, AYUSH and ISO 22000 / HACCP requirements applicable to sourcing.
- Technical Proficiency: Advanced MS Excel (pivot tables, lookups, dashboards) and Tally-ERP purchase and inventory modules.
- Documentation: Accurate, retrievable procurement records, vendor files and approval trails, audit-ready at all times.
- Leadership & Integrity: Ability to lead a small team, mentor juniors and maintain confidentiality and ethics in vendor dealings.
Required Qualifications
- MBA – Supply Chain Management & Logistics — Preferred
- B. Pharm / B.Sc. with PG Diploma in Materials Management
- M. Com / BBA with strong pharmaceutical purchase background
- Work Experience: 5–8 years in pharmaceutical purchase, with 2 years in a supervisory role
