Day Hotel Receptionist

Reporting To: Front Office Manager / Hotel Manager
Job Purpose
To manage the hotel's front desk during the day shift and ensure smooth, skilled and guest-friendly operations from arrival to departure. The receptionist will be responsible for check-ins, check-outs, reservations, guest communication, billing coordination, and maintaining accurate front-office records.
Key Responsibilities1. Guest Service
- Welcome guests warmly and professionally.
- Handle guest check-in and check-out according to hotel SOPs.
- Explain room facilities, hotel services, timings and important policies.
- Handle guest requests, questions and basic complaints professionally.
- Coordinate with Housekeeping and other departments to fulfil guest requirements.
- Maintain a calm and professional approach during busy periods.
2. Reservations & PMS
- Handle walk-in, telephone, website and OTA reservations.
- Check room availability and rates before confirming bookings.
- Enter and update reservations accurately in the hotel's PMS.
- Monitor arrivals, departures, extensions, cancellations and no-shows.
- Ensure room status in PMS matches the actual room status.
3. Billing & Cash Handling
- Prepare and verify guest bills accurately.
- Collect cash, UPI and card payments as per hotel procedure.
- Maintain proper records of all front-desk collections.
- Coordinate with the accounts team for credit/company bookings and outstanding payments.
- Never make unauthorised discounts, refunds or rate changes.
4. OTA & Booking Coordination
- Monitor bookings received from OTAs and ensure they are correctly entered into the PMS.
- Immediately report booking discrepancies,
overbookings or payment issues to the Front Office Manager.
- Ensure guest booking details and room allocation are accurate.
5. Front Office Records
Maintain accurate:
- Arrival and departure records
- Guest registration records
- Cash collection records
- Shift handover reports
- Room status information
- Pending payment records
- Guest requests and complaints
- Key/room-control records
6. Coordination With Housekeeping
- Communicate room requirements and priority rooms to Housekeeping.
- Follow up on rooms required for early arrivals.
- Ensure rooms are released for sale only after proper status confirmation.
- Report maintenance defects immediately.
7. Shift Handover
At the end of every shift, provide a proper written/verbal handover covering:
- Pending check-ins/check-outs
- VIP or important guest requirements
- Pending payments
- Complaints or unresolved issues
- Room-related issues
- Expected arrivals
- Special requests
- Any unusual incident during the shift
Grooming & Behaviour Standards
The receptionist must maintain:
- Clean and professional uniform
- Well-groomed hair and appearance
- Clean shoes
- Good personal hygiene
- Professional body language
- Polite and clear communication
- No unnecessary mobile-phone use at the reception
- No arguments with guests
- No eating at the reception desk
- Confidentiality of guest and hotel information
Performance Expectations / KPIs
The employee will be evaluated on:
- Accurate check-in and check-out
- Guest satisfaction and service quality
- Accuracy of PMS entries
- Billing and cash-handling accuracy
- Response time to guest requests
- OTA/reservation accuracy
- Proper shift handover
- Grooming and professional conduct
- Coordination with Housekeeping and other departments
- Compliance with hotel SOPs and management instructions
Candidate Requirements
Experience: 1–2 years in hotel front office preferred.
Freshers with good communication skills and a hotel-management background may also be considered.
Education: Hotel Management / Hospitality qualification preferred.
Skills:
- Good English and Hindi communication
- Basic computer knowledge
- PMS knowledge preferred
- Basic understanding of hotel operations
- Good guest-handling skills
- Ability to work under pressure
- Professional attitude and appearance
Important
The receptionist represents the hotel at the first and last point of guest contact. Therefore, grooming, communication, honesty, accuracy, discipline and guest-service attitude are mandatory.
Salary will be based on experience, skills and accommodation requirements.
Pay: ₹8,546.57 - ₹13,852.57 per month
