Program Manager — Online Research Course & Certification

Reports to: Course Director | Type: Full-time (or 0.6–0.8 FTE contract) | Location: Remote, with travel for in-person sessions

Role Purpose

Own the end-to-end operation of a certificate-granting research methodology course delivered in hybrid format: asynchronous online modules, live virtual classes, and periodic in-person sessions. The Program Manager is the single point of accountability from lead generation through enrollment, delivery, certification, and financial close. This is an independent operator role, not a coordinator role.

Core ResponsibilitiesProgram Operations

- Build and maintain the academic calendar, cohort schedule, and faculty teaching roster
- Administer the learning management system (Moodle / Canvas / Teachable): module upload, release sequencing, assessments, discussion moderation
- Run live virtual classes — scheduling, Zoom/Teams hosting, recording, captioning, and archiving
- Coordinate logistics for in-person sessions: venue, catering, travel, materials, and attendance capture
- Track attendance and assessment against certification criteria; issue credentials and maintain the verification registry
- Manage CME/CE accreditation documentation and reporting where applicable

Enrollment & Student Lifecycle

- Own the admissions funnel: inquiries, application review, admissions decisions, and waitlist management
- Deliver onboarding, orientation, and first-line technical support triage
- Monitor retention, conduct at-risk learner outreach, and report completion rates
- Maintain the alumni database and post-course engagement program

Finance & Accounts

- Execute tuition pricing, invoicing, payment gateway reconciliation (Stripe / PayPal), and refunds
- Process faculty honoraria and vendor payments; track scholarships and installment plans
- Produce a monthly per-cohort P&L; and budget variance report for the Director
- Coordinate with the external accountant or bookkeeper on tax and 1099 filings





Marketing & Growth

- Own the marketing calendar and channel mix: email, LinkedIn, professional societies, and paid search
- Manage website and landing page copy, SEO, and conversion tracking
- Program and host webinars and information sessions
- Develop institutional partnerships and group/cohort sales
- Report customer acquisition cost, conversion rate, and cohort fill rate monthly

Success Metrics — First 12 Months

- Cohort fill rate at or above 85% of target seats
- Course completion rate at or above 80%
- Cost per enrolled student within the agreed acquisition-cost ceiling
- Net program margin at or above target
- Learner satisfaction (NPS) at or above 50
- Zero accreditation or certification compliance lapses

QualificationsRequired

- Four or more years running educational programs, online courses, or certification programs end to end
- Demonstrated P&L; ownership or direct budget accountability
- Hands-on LMS administration experience, not oversight alone
- Digital marketing execution: email platforms, paid social and search, analytics
- Robust written English; able to draft learner-facing and faculty-facing communications independently
- Bachelor's degree required; master's in education, public health, healthcare administration, or business preferred

Preferred

- Background in health sciences, continuing medical education, or academic research training
- Familiarity with research methodology content — study design, biostatistics, IRB processes — sufficient to coordinate faculty credibly
- Experience working with CME/CE accreditation bodies
- CRM and marketing automation experience (HubSpot, ActiveCampaign, or equivalent)

Compensation

Base salary $[X]–$[Y], plus a performance component tied to enrollment and program margin. Benefits per institutional policy.
