Role Overview

We are seeking a confident, enthusiastic, well-organized, and communication-focused Holiday Advisor to join our team in Surat. This is an excellent opportunity for both freshers and experienced candidates who are interested in building a career in international travel, tourism, and B2B DMC operations.

The ideal candidate should have strong English communication skills, be comfortable speaking with international clients and suppliers, have basic knowledge of MS Word and Excel, and be willing to learn how professional travel companies operate. The candidate should also be comfortable using AI tools such as ChatGPT to improve productivity, research destinations, prepare professional communication, and support daily travel operations.

This is a B2B role. You will primarily work with international travel Company and tour operators rather than directly with individual retail travelers. You will also communicate with hotels, transport companies, guides, attractions, and other travel suppliers to build and deliver travel programs.

Key Responsibilities

1. B2B Travel Company Communication

- Communicate professionally with international travel Company and tour operators through email, WhatsApp, phone, and other business communication channels.
- Understand travel-company requirements, client preferences, travel dates, budgets, destinations, and special requests.
- Prepare clear and professional responses to international B2B travel partners.
- Handle enquiries from travel company across Europe, Africa, the USA, Canada, Latin America, Australia, and other international markets.
- Maintain professional communication and timely follow-ups with travel company.
- Build long-term professional relationships with international B2B travel partners.
- Understand the difference between B2B travel-company communication and direct-to-consumer travel sales.
- Escalate complex requirements to senior team members when required.

2. Holiday Planning & Travel Assistance

- Assist in preparing customized holiday itineraries based on travel-company requirements.
- Research destinations, hotels, sightseeing, activities, transportation, restaurants, and other travel services.
- Assist senior team members in preparing quotations and travel proposals.
- Learn how to calculate basic travel costs and prepare professional quotations.
- Suggest suitable hotels, activities, sightseeing, and travel experiences based on client requirements.
- Assist with FIT, group, MICE, corporate, and customized travel requirements.
- Ensure all information provided to travel Company is accurate and professionally presented.

3. International Email Communication

- Draft professional emails to international travel company and tour operators.
- Communicate with overseas partners using clear, polite, and professional English.
- Prepare quotation emails, follow-up emails, confirmation emails, amendment emails,



and general business correspondence.
- Learn proper international business-email etiquette.
- Ensure emails are grammatically correct, properly structured, and easy for international partners to understand.
- Follow up on pending quotations, bookings, supplier confirmations, and client requirements.

4. Hotel & Supplier / Vendor Coordination

- Communicate with hotels, resorts, transport companies, guides, restaurants, attractions, activity providers, and other travel suppliers.
- Request rates, availability, inclusions, cancellation policies, and booking conditions from suppliers.
- Search for and identify new hotels and travel suppliers.
- Research new travel products, experiences, activities, and tourism services.
- Compare supplier options and pricing.
- Build and maintain professional relationships with hotels and vendors.
- Assist in negotiating better rates and conditions as experience develops.
- Maintain an organized supplier database with contact details, rates, products, and relevant information.
- Continuously look for new and reliable suppliers who can improve our product offering.

5. Office & Computer Skills

- Use Microsoft Word to prepare professional documents, letters, itineraries, and other business documents.
- Use Microsoft Excel for basic costing, supplier comparisons, data entry, tracking, and travel-related calculations.
- Use Google Sheets, Google Docs, Google Drive, and other cloud-based office tools.
- Maintain organized digital files and folders.
- Update enquiry trackers, quotation trackers, supplier databases, and internal reports.
- Learn and follow company SOPs, internal processes, and documentation standards.
- Manage multiple tasks and enquiries using internal systems and productivity tools.

6. AI & Technology

- Use AI tools such as ChatGPT, Microsoft Copilot, and other AI productivity tools in daily work.
- Use AI to assist with:
- Drafting professional emails
- Improving English communication
- Researching destinations
- Preparing itinerary ideas
- Organizing information
- Creating documents
- Summarizing supplier information
- Preparing reports
- Excel and Google Sheets assistance
- Improving productivity and reducing repetitive work
- Learn how to use AI responsibly and verify AI-generated information before sending it to clients or suppliers.
- Continuously learn new digital tools that can improve travel operations and customer service.

7. Learning & Career Development

- Learn how an international B2B DMC operates.
- Develop practical knowledge of destinations, hotels, suppliers, transportation, sightseeing, and travel products.
- Learn how to prepare professional travel quotations.
- Learn supplier negotiation and vendor management.
- Develop international business communication skills.
- Learn how to handle travel-agent enquiries from initial enquiry through quotation and booking.
- Work closely with senior team members and gradually take responsibility for independent client handling.
- Develop into a professional B2B Holiday Advisor / Travel Consultant with international market exposure.

Preferred

- Previous experience in a travel company, DMC, tour operator, hotel, hospitality, or customer-service environment.
- Bachelor's degree or diploma in Travel & Tourism, Hospitality, Business Administration, or a related field.
- Experience communicating with international customers or businesses.
- Experience with MS Excel and Google Sheets.
- Experience using ChatGPT or other AI tools.
- Knowledge of international destinations is an advantage.
- Knowledge of any foreign language is an advantage.
- Candidates with strong English communication skills and a genuine interest in travel are encouraged to apply even without previous travel-industry experience.
