Location: Mumbai (Andheri - Sakinaka)
JOB PURPOSE
The Secretary to the Managing Director will provide high-level executive, administrative, secretarial and coordination support to the Managing Director. The role will ensure effective calendar management, communication, meeting coordination, documentation, follow-up and handling of confidential information while supporting the MD in managing key business priorities.
1. Executive & Calendar Management
- Manage and maintain the Managing Director's calendar, appointments and daily schedule.
- Coordinate internal and external meetings, conference calls and appointments.
- Prioritise meetings and ensure effective utilisation of the MD's time.
- Arrange travel, accommodation, transportation and detailed itineraries as required.
- Provide timely reminders, briefing notes and relevant documents for meetings and engagements.
2. Meeting, Documentation & Follow-up
- Schedule meetings and coordinate agendas with relevant stakeholders.
- Attend meetings when required and prepare accurate Minutes of Meeting (MOM).
- Maintain an action tracker and follow up with stakeholders on agreed action points.
- Prepare reports, presentations, correspondence and other documents as required.
- Maintain organised records of important documents, decisions and communications.
3. Communication & Stakeholder Coordination
- Act as a key point of coordination between the MD and internal/external stakeholders.
- Handle telephone calls, emails and correspondence professionally and confidentially.
- Draft and review letters, emails, notices and official communications on behalf of the MD.
- Ensure important communications are appropriately prioritised, tracked and escalated.
- Coordinate with department heads, property teams, vendors, consultants, business partners and other stakeholders.
4. Business Coordination & MIS
- Track key assignments and commitments delegated by the MD.
- Follow up with department heads and teams to ensure timely completion of tasks.
- Prepare periodic status updates, trackers and MIS for the MD.
- Maintain a confidential tracker of key business priorities, deadlines and pending matters.
- Support the MD in coordinating cross-functional initiatives and special projects.
5. Confidentiality & Executive Support
- Maintain strict confidentiality of business, financial, employee and sensitive information.
- Handle confidential documents and communications with discretion.
- Support preparation for management reviews, board meetings and business discussions.
- Conduct research and compile information required for decision-making.
- Assist with special projects and assignments entrusted by the MD.
6. Hospitality & Corporate Coordination
- Coordinate with hotel, restaurant, outlet and corporate teams as required.
- Support arrangements for VIP meetings, business partners and senior stakeholders.
- Assist in organising corporate events, meetings and executive engagements.
- Coordinate with external agencies, consultants and business associates.
QUALIFICATIONS & EXPERIENCE
- Graduate in any discipline; qualification in Business Administration, Management, Hospitality or a related field will be an advantage.
- 8–15 years of relevant experience in executive secretarial, executive assistant or management support roles.
- Experience supporting a Managing Director, CEO,
Chairman or senior executive preferred.
- Experience in hospitality, hotels, restaurants, F&B; or multi-outlet businesses preferred.
- Strong proficiency in MS Office, particularly Word, Excel and PowerPoint.
- Excellent written and verbal communication skills.

IDEAL CANDIDATE
The ideal candidate will be a highly organised, discreet and proactive executive support professional with robust communication and coordination skills. The candidate should be comfortable working with senior leadership, handling confidential information, managing multiple priorities and following through on business commitments across King Group Hospitality.
Job Type: Full-time
Pay: ₹800,000.00 - ₹1,200,000.00 per year
