JOB DESCRIPTION – PURCHASE MANAGERInterior Fit-Out & Construction Company

Position: Purchase Manager
Department: Procurement / Purchase
Location: Mumbai / Project Sites
Reporting To: Director / CEO / Head – Projects & Commercial
Industry: Construction, Interior Fit-Out & MEP

Job Purpose

To manage the end-to-end procurement function for construction and interior fit-out projects, ensuring timely availability of approved materials, competitive pricing, quality, vendor performance and adherence to project budgets and schedules.

Key Responsibilities

1. Project Procurement

- Review BOQ, drawings, specifications, material schedules and project requirements.
- Prepare and maintain project-wise procurement plans and trackers.
- Identify long-lead materials and initiate procurement well in advance.
- Ensure materials are available at site as per the project execution schedule.
- Coordinate with Project, Design, QS, Estimation and Billing teams for material requirements.

2. Vendor Management

- Identify, evaluate and develop reliable vendors, manufacturers and subcontractors.
- Obtain and compare multiple quotations.
- Conduct technical and commercial evaluation of vendors.
- Carry out vendor/factory/site due diligence wherever required.
- Negotiate rates, payment terms, delivery schedules, warranties and other commercial terms.
- Maintain an updated approved vendor database.

3. Purchase Orders

- Prepare and issue POs as per approved quotations and commercial terms.
- Ensure PO scope, specifications, quantities, rates, taxes, delivery terms and payment conditions are clearly defined.
- Ensure no procurement is made without the required management/commercial approval.
- Track PO acknowledgements and order confirmations.

4. Cost Control

- Achieve competitive procurement rates and cost savings.
- Compare procurement rates against BOQ/budget and approved costing.
- Identify cost-effective alternatives without compromising specifications or quality.




- Monitor price variations and obtain approval for deviations.
- Maintain a project-wise Purchase Cost vs. Budget tracker.

5. Material Delivery & Logistics

- Follow up with vendors for manufacturing and dispatch.
- Monitor delivery commitments against the project schedule.
- Coordinate transportation and delivery to site.
- Ensure timely delivery of long-lead and critical materials.
- Escalate delays immediately to the Project Manager/Management.

6. Coordination with Site & Project Teams

- Coordinate with Project Managers, Site Engineers, QS, Design, Estimation, Stores and Accounts.
- Verify material requirements before placing orders.
- Ensure material specifications and approved makes are followed.
- Coordinate for samples, mock-ups and material approvals wherever required.

7. Quality & Documentation

- Ensure procurement is based on approved specifications, drawings and material submittals.
- Coordinate material samples and approvals with the Design/Project team.
- Ensure required documents such as MTC, test certificates, warranties, invoices, delivery challans and other quality documents are obtained from vendors.
- Coordinate with Stores for GRN and material receipt documentation.

8. Payment & Commercial Coordination

- Coordinate with Accounts for vendor advance and payment requirements.
- Verify vendor invoices against PO, delivery and GRN.
- Track vendor advances and outstanding payments.
- Ensure advance payments are released only against required approvals and supporting documents.
- Monitor retention,



deductions and other commercial conditions as applicable.

- 8–12 years of experience in purchase/procurement, preferably in construction and interior fit-out.
- Strong knowledge of construction and interior materials such as:
- Civil & finishing materials
- Marble, granite & tiles
- Gypsum & false ceiling
- Baffle and acoustic materials
- Glass & aluminium
- Carpentry & plywood
- Paints and finishes
- Electrical & plumbing materials
- MEP materials
- Hardware, fabrication and miscellaneous items
- Strong negotiation and vendor-management skills.
- Valuable knowledge of BOQ, drawings, specifications and project schedules.
- Strong Excel and procurement-tracker skills.
- Ability to manage multiple projects and urgent site requirements simultaneously.
- Strong commercial understanding and communication skills.

Authority & Accountability

The Purchase Manager will be accountable for timely, cost-effective and quality-compliant procurement and must immediately escalate any issue related to approval, vendor finalization, payment, manufacturing or delivery that may affect the project schedule.
