1. POSITION SUMMARY

LEXIS AND COMPANY is seeking a reliable, disciplined and organised Office Assistant to support the day-to-day administrative, documentation, filing, court-related and office coordination activities of the law firm.

The Office Assistant will work closely with Advocates, Legal Associates, Office Coordinators, Paralegal Staff and the administrative team to ensure that office work, documents, files and routine operational tasks are completed accurately and on time.

The role is particularly suitable for a candidate who is comfortable working in a professional legal-office environment, handling confidential documents and performing multiple tasks under deadlines.

2. KEY JOB RESPONSIBILITIESA. Office Administration

- Maintain day-to-day office operations and administrative activities.
- Receive visitors, clients, advocates and other persons visiting the office professionally.
- Handle incoming and outgoing documents, letters and communications.
- Maintain office registers, records and basic administrative documentation.
- Assist in organising meetings, appointments and office schedules.
- Ensure that office stationery and essential supplies are available.
- Maintain cleanliness and proper organisation of files, desks and common work areas.

B. Legal File & Document Support

- Arrange and maintain physical and digital legal files.
- Assist in indexing, pagination, scanning, photocopying and printing of legal documents.
- Prepare document sets as instructed by advocates and senior staff.
- Assist in filing, labelling and organising pleadings, applications, affidavits, annexures and supporting documents.
- Maintain proper movement/receipt records of important files and documents.
- Ensure that confidential client documents are not disclosed or shared without authorisation.

C. Court & Legal Office Assistance

- Assist advocates and legal staff with routine court-related administrative work.
- Carry documents/files to courts, tribunals, government offices or other authorised locations when required.
- Assist in obtaining/collecting documents, certified copies, notices and other records as instructed.
- Coordinate with court staff, filing counters, clerks, process servers and other authorised persons when required.
- Ensure that documents required for hearings or filing are properly arranged before dispatch.

D. Data Entry & Computer Work

- Perform basic data entry and updating of office records.
- Scan and upload documents into designated digital folders or document-management systems.
- Maintain digital file naming and folder organisation.
- Use MS Word, Excel, PDF tools, email and basic office software.
- Assist with printing, scanning, photocopying,



binding and document compilation.
- Update internal registers, client records and task/status sheets as instructed.

E. Communication & Coordination

- Handle routine telephone calls and office communications professionally.
- Take messages and forward them to the concerned advocate/team member.
- Coordinate with clients and vendors only within the authority assigned to the employee.
- Coordinate with office staff regarding documents, appointments, deliveries and routine requirements.
- Follow instructions issued by Advocates, Office Coordinator and authorised supervisors.

F. Office Logistics

- Manage dispatch and receipt of couriers and documents.
- Maintain courier, delivery and dispatch records.
- Assist with banking, stationery purchase, document collection and other authorised outside-office tasks.
- Support arrangements for meetings, conferences and office events.
- Assist in maintaining office equipment and report operational issues promptly.

3. DAILY WORK EXPECTATIONS

The selected candidate is expected to:

- Report to the office on time.
- Maintain professional dress and workplace behaviour.
- Keep files and documents properly organised.
- Complete assigned tasks within prescribed timelines.
- Maintain confidentiality of client and firm information.
- Follow the firm's SOPs and reporting structure.
- Immediately report missing documents, errors, delays or unusual incidents.
- Maintain proper records of documents received, delivered or transferred.
- Support advocates and staff without interfering with professional legal decisions.

4. REQUIRED SKILLS

Essential:

- Basic computer knowledge.
- MS Word and basic Excel.
- Ability to read and understand basic English.
- Ability to communicate in Hindi.
- Good organisational skills.
- Ability to handle paperwork carefully.
- Punctuality and reliability.
- Willingness to perform both office and outside-office support work.
- Ability to work under time-sensitive instructions.

Desirable:

- Previous experience in a law firm, CA firm, corporate office or professional office.
- Knowledge of legal-document handling.
- Knowledge of court/tribunal filing procedures.
- Experience with scanning, PDF creation, printing and document management.
- Familiarity with Google Drive or other cloud-document systems.

6. CONFIDENTIALITY & PROFESSIONAL CONDUCT

Because the position involves access to legal and client information, the employee shall maintain strict confidentiality regarding:

- Advocate-client communications.
- Office passwords and access credentials.
- Internal SOPs and business information.

No document, photograph, screenshot, case information or client information shall be shared with any unauthorised person.

7. REPORTING

Primary Reporting: Office Coordinator / Administrative Head

Functional Coordination With:

- Managing/Senior Advocates
- Legal Associates
- Paralegal Staff
- Accounts/Administration Team
- Other authorised office personnel

The Office Assistant shall not provide independent legal advice or make legal commitments on behalf of the firm.

9. CAREER DEVELOPMENT

Depending upon performance, discipline, educational qualifications and aptitude, the employee may be considered for progression into roles such as:

Office Assistant → Senior Office Assistant → Office Coordinator → Legal Administrative Executive → Legal Operations Executive

Additional training may be provided in legal documentation, digital file management, office administration and law-firm SOPs.

10. IMPORTANT ROLE CONDITION

This is a support and administrative position in a law firm. The employee is not authorised to independently represent clients, provide legal advice, draft legal opinions in their own capacity, make commitments on behalf of the firm or hold themselves out as an Advocate unless separately legally qualified and authorised.

Candidate Profile

Experience: 0–3 years
Education: 10th/12th pass or graduate; graduates preferred
Location Preference: Candidates residing in or reasonably accessible to Janakpuri, West Delhi or nearby areas may be preferred for operational convenience.
