JOB DESCRIPTION EVENT MANAGER

Position: Event Manager
Department: Events / Banquets / Sales & Operations
Industry: Hospitality / Hotel / Resort
Reporting To: General Manager / Director – Operations / Management
Location: Jabalpur, Madhya Pradesh
Employment Type: Full-Time

JOB SUMMARY

We are looking for an experienced and energetic Event Manager to plan, coordinate, and execute hotel events, banquets, weddings, conferences, corporate events, social functions, and special occasions.

The Event Manager will be responsible for ensuring smooth event operations, excellent guest experience, effective coordination with internal departments and vendors, and achieving event revenue and profitability targets.

KEY RESPONSIBILITIES

1. Event Planning & Execution

- Plan and execute weddings, conferences, corporate events, social functions, parties, and special events.
- Understand client requirements and prepare detailed event plans and checklists.
- Coordinate venue setup, décor, seating arrangements, lighting, sound, stage, AV, food & beverage, and other requirements.
- Ensure events are executed according to approved specifications, timelines, and budgets.
- Conduct pre-event briefings and post-event reviews.

2. Client & Guest Management

- Meet clients to understand event requirements and expectations.
- Maintain professional communication with clients throughout the event planning process.
- Handle guest requests, complaints, and last-minute changes professionally.
- Ensure high standards of guest satisfaction and service delivery.
- Build strong relationships with corporate clients, wedding planners, event agencies, and other business partners.

3. Internal Coordination

- Coordinate with F&B; Service, F&B; Production, Housekeeping, Front Office, Engineering/Maintenance, Security, Accounts, Sales, and other departments.
- Ensure all departments are briefed about event requirements in advance.
- Monitor manpower deployment and ensure adequate staffing during events.




- Ensure timely communication of changes or special requirements.

4. Vendor & Supplier Management

- Coordinate with decorators, DJs, artists, photographers, AV vendors, entertainers, florists, and other external agencies.
- Negotiate and coordinate vendor requirements within approved budgets.
- Ensure vendor performance and timely setup/removal of equipment and materials.
- Maintain a database of reliable event vendors.

5. Revenue & Cost Control

- Prepare event quotations and coordinate with the Sales/Accounts team.
- Monitor event budgets and control unnecessary expenses.
- Identify opportunities for upselling food, beverages, décor, accommodation, AV, and other hotel services.
- Ensure all event-related billing and additional charges are properly recorded and communicated.

6. Event Operations

- Supervise event setup and dismantling.
- Ensure venue cleanliness, presentation, safety, and readiness before guest arrival.
- Monitor food service, service standards, timing, and overall event flow.
- Ensure adherence to hotel SOPs and service standards.
- Handle operational issues and coordinate immediate corrective action.

7. Documentation & Reporting

- Maintain event files, BEO/Event Orders, checklists, quotations, client requirements, and vendor details.
- Prepare daily/weekly event status reports.
- Maintain records of event revenue, expenses, feedback, and client requirements.
- Conduct post-event feedback and prepare improvement reports.

- Proficiency in MS Office and hotel/event management systems.

QUALIFICATION & EXPERIENCE

- Bachelor's/Diploma in Hotel Management, Hospitality, Event Management, or a related field.
- 3–6 years of relevant experience in hotel banquet/event operations.
- Experience in weddings, corporate events, conferences, social functions, and large-scale events will be preferred.
- Candidates with experience in a reputed hotel, resort, banquet property, or event company will be preferred.
