We are looking for an experienced Medicare Insurance Specialist to support a U.S.-based independent Medicare insurance agency. The ideal candidate will have hands-on experience with Medicare insurance operations and be comfortable supporting administrative workflows, client communication, appointment coordination, AEP activities, and Medicare-related research.
Key Responsibilities
- Monitor and document incoming business voicemail.
- Return administrative client calls using approved scripts and procedures.
- Maintain the AEP client tracking system.
- Assist with appointment scheduling and confirmations.
- Manage the designated Google Calendar.
- Conduct administrative Needs Assessment follow-ups as directed.
- Maintain accurate CRM and database records.
- Provide daily activity and status reports.
- Assist with Medicare enrollment-related administrative support and documentation follow-ups.
- Support AEP/OEP administrative activities.
- Research Medicare Part D plan options using Medicare.gov / Medicare Plan Finder based on beneficiary-provided prescription drug and pharmacy information.
- Accurately document research findings for review by the agency.
- Follow up on outstanding administrative items and documentation.
- Escalate Medicare coverage, benefit, enrollment, plan-selection, or other advisory questions to the appropriate agency representative.
- Maintain organized records and ensure assigned follow-ups are completed on time.
- Support additional insurance administrative responsibilities as assigned.
Requirements
- Prior professional experience in Medicare insurance or insurance agency operations.
- Direct experience with Medicare Advantage, Medicare Part D, AEP/OEP, or Medicare agency workflows preferred.
- Strong understanding of Medicare insurance terminology and administrative processes.
- Excellent spoken and written English communication skills.
- Skilled telephone communication skills.
- Strong attention to detail and documentation accuracy.
- Ability to follow established scripts, SOPs, and escalation procedures.
- Experience with CRM systems, Google Workspace, calendars, spreadsheets, and email.
- Strong research and organizational skills.
- Ability to manage multiple follow-ups and deadlines.
- Comfortable working independently while maintaining consistent communication with the agency and internal operations team.
- Availability to work according to U.S. Eastern Time business hours.
