About the Property & Facilities Function:
By joining the Property & Facilities team within the Global Capability Centre (GCC), you will play a direct role in shaping the future of Officeworks physical store network, store assets, and customer experience. The function spans strategic portfolio planning, network optimisation, lease strategy, store refurbishments, new store delivery, and future store formats that support how customers shop, work, create, and connect.
The GCC is a critical enabler of Officeworks purpose by supporting smarter property decisions, stronger commercial outcomes, and more effective use of the store network. As the business shifts from rapid store rollout toward a more optimised, insight-led network strategy, Property & Facilities will play an increasingly important role in ensuring Officeworks has the right stores, in the right locations, with the right formats and cost structures.
This is a unique opportunity to join as a founding member of a newly established global hub. Early joiners will help shape how the Property & Facilities function operates within the GCC, influencing future ways of working, capability development, and the evolution of Officeworks store network and in-store customer experience.

Why this role exists:
The Property Operations Associate provides flexible, generalist administrative workflows, financial tracking, and operational analysis across lease administration, project delivery, and market research functions. The role provides malleable capacity across disciplines, balancing thinking and analytical support with task execution to maintain compliance, tracking, and operational continuity.
By applying professional logic and objective judgement to reconcile data and flag issues, the role ensures foundational portfolio accuracy. It supports the broader Property & Facilities function to deliver optimised network strategies and robust cost improvements across the store network.
Where you will make a difference
In this role you will:
Lease Administration & Compliance:
Reconcile rent, rates, taxes, outgoings and occupancy cost payments against active lease terms, identifying and flagging discrepancies for timely resolution.
Maintain and quality-check PEPS and related lease databases to ensure all terms, dates, and landlord contact details remain current and accurate.
Coordinate the end-to-end lease document lifecycle, including scanning, uploading, and structured digital storage.
Track and diarise critical lease dates, milestones, and notification windows, proactively identifying opportunities to introduce workflow automation.
Financial & Tenant Transaction Management:
Invoice subtenant rents and reimbursable costs accurately, managing ongoing debtor follow-up and tracking.
Set up and maintain property vendor profiles within core systems to ensure seamless lease and operational payments.
Prepare month-end accruals, baseline budget inputs, and standard corporate financial reporting components.
Provide valid insurance certificates of currency and certified store sales information to landlords or property managers in alignment with compliance metrics.
Project & Capital Budget Administration:
Compile and prepare initial capital budgets for sign-off with the Store Delivery Manager for store-led initiatives.
Process, verify, and track project financial data to ensure expenditure records are kept accurate, complete, and current.
Manage comprehensive project closure workflows, securing invoice processing within strict company policy and agreed timeframes.
Reconcile project financials and produce structured variance reports, flagging data anomalies for senior review.
Market Analytics & Data Support:
Compile and quality-check standard data extracts, demographic information, and foundational reports to support senior analytical roles.
Execute data entry and baseline quality checks for network and portfolio analysis initiatives.
Support market rental assessments and valuation research by conducting necessary property title, company, and zoning searches.
Process Optimisation & Continuous Improvement:
Identify and progress practical process improvement opportunities across the broader property portfolio.
Maintain the centralised project invoicing inbox, ensuring daily distribution of correspondence to correct cross-functional stakeholders.
Support the compilation of operational metrics to contribute to Post Implementation Reviews (PIRs).
Who you will be working with:
Property Development Team: Collaborate closely with the Property Development team for day-to-day coordination, direction, and escalation.
National Lease Specialist: Partner in a joint delivery model to execute detailed operational lease tasks, align on day-to-day store network requirements, and support landlord negotiation outcomes.
Project Delivery Leaders:
Partner with Project Managers and the Property Design & Delivery Manager to accurately track capital budgets and close out project financials.
Finance Functions: Coordinate with Corporate Finance teams for seamless payment processing, reconciliation handoffs, and expense management.
What success looks like:
Data Accuracy & Integrity: Lease and project financial records are maintained with high precision, kept current, and systematically reconciled with zero unflagged anomalies.
Operational Timeliness: Critical lease dates, legal documentation, reporting obligations, and invoices are processed efficiently without missed deadlines or commercial exposure.
High-Quality Support: Baseline data extracts, market research searches, and property reports provided to the Property team are verified, accurate, and delivered to schedule.
Stakeholder Engagement: Strong, professional working relationships are maintained with landlords, property managers, and internal cross-functional business lines.

Qualifications and work experience:
Essential:
Education: Tertiary qualification in Business, Property, Commerce, Finance, or a related discipline.
Experience: 3+ years of demonstrated experience within property administration, lease administration, project financial support, or high-volume data coordination roles.
Financial Capability: Proven capability processing invoices, tracking capital expenditure budgets, and performing foundational financial data reconciliations.
Technical Literacy: Highly competent computer skills, featuring intermediate-to-advanced proficiency in Microsoft Excel (e.g., data manipulation, basic formulas, VLOOKUPs).
Communication Skills: Well-developed written and verbal communication skills, with a track record of successfully coordinating outcomes across internal teams and external landlords/vendors.
Attention to Detail: Demonstrated ability to verify, compile, and quality-check data sets with high accuracy.
Preferred:
Industry Context: Prior experience operating within a large corporate retail network, multi-site commercial property group, or complex FMCG corporate environment.
Systems Familiarity: Hands-on experience working with specialised lease management databases (e.g., PEPS) or centralised corporate procurement and expense platforms.
