Role & responsibilities
A. Housekeeping Operations
1. Coordinate and oversee day-to-day housekeeping operations across all assigned hospital areas.
2. Ensure smooth opening and closing of shifts and proper handover between respective shifts.
3. Allocate duties and responsibilities to Housekeeping staff across all shifts based on operational requirements.
4. Conduct shift-start briefings for applicable staff and communicate daily priorities, instructions and operational requirements.
5. Conduct weekly rounds of critical and high-traffic areas including OT, ICU and OPD and ensure timely rectification of observations.
6. Coordinate with Housekeeping Supervisors and ensure that assigned work is completed within defined timelines and quality standards.
7. Conduct daily patient rounds and collect patient feedback; review feedback received by Supervisors and submit observations/action points to the Facility Manager.
B. Preventive Maintenance (PPM) Coordination
1. Coordinate with the Maintenance Team for blocking of IP rooms for Preventive Planned Maintenance (PPM).
2. Ensure that the room-blocking schedule is maintained appropriately and report PPM-related requirements/status to the Assistant Manager/Facility Manager.
3. Coordinate with the Maintenance and Housekeeping teams to ensure timely release of rooms after completion of PPM activities.
C. Manpower Management
1. Maintain and monitor Housekeeping mandays/manpower deployment on a daily basis.
2. Monitor manpower availability against the approved manpower requirement.
3. Coordinate with the outsourced Housekeeping manpower provider in case of manpower shortage or absenteeism and ensure timely deployment of replacement manpower.
4. Ensure optimum utilization and deployment of available manpower across all shifts and areas.
5. Ensure Supervisors monitor and maintain Housekeeping GDA attendance and overtime records.
6. Ensure attendance and OT calculations are verified and submitted on a weekly basis as per defined timelines.
D. Staff Discipline, Uniform & Grooming
1. Ensure all Housekeeping staff report for duty in the prescribed uniform.
2. Conduct regular checks of staff grooming, personal hygiene, uniform condition and adherence to hospital standards.
3. Address deviations and coordinate with Supervisors for necessary corrective action.
4. Ensure staff are adequately briefed regarding workplace discipline, patient interaction and hospital code of conduct.
E. Cleaning & Infection Control
1. Prepare, implement and monitor Mid-Day Cleaning Schedules for applicable areas.
2. Ensure Mid-Day Cleaning records/checklists are completed and updated accurately.
3. Ensure the correct cleaning procedures, methods,
frequencies and chemical usage are followed by all Housekeeping staff in accordance with Infection Control Nursing (ICN) protocols and hospital SOPs.
4. Ensure all Infection Prevention and Control guidelines are consistently followed in patient-care and non-patient-care areas.
5. Coordinate with the Infection Control team wherever required for implementation of corrective/preventive actions.
6. Monitor housekeeping quality indicators and take corrective action for identified gaps.
F. Cleaning Supplies & Chemical Inventory
1. Ensure adequate availability of cleaning supplies, consumables and cleaning chemicals for uninterrupted operations.
2. Conduct a weekly inventory of cleaning supplies and chemicals.
3. Assess consumption trends and submit material requirements/requisitions to the Facility Manager.
4. Monitor stock consumption and ensure appropriate utilization of cleaning chemicals and consumables.
5. Maintain proper records of stock receipt, issue, consumption and balance.
6. Prepare and submit month-end stock inventory, stock consumption and stock reports for review/sign-off.
G. Linen Management
1. Ensure smooth and efficient management of ward linen stock.
2. Monitor availability of adequate linen stock in wards and assigned areas.
3. Ensure the Linen Status Register is updated every day in coordination with Housekeeping Supervisors.
4. Monitor linen movement, availability, shortages and discrepancies and escalate issues appropriately.
5. Coordinate with concerned departments/vendors for resolution of linen-related operational issues.
H. Waste Management
1. Ensure proper implementation of hospital waste-management protocols.
2. Ensure segregation, collection, handling and disposal of Dry Waste, Wet Waste and Biomedical Waste (BMW) as per applicable hospital protocols and statutory requirements.
3. Conduct regular checks to identify improper waste segregation and ensure corrective action.
4. Coordinate with relevant departments and waste-management agencies wherever required.
I. Quality, KPI & Documentation
1. Maintain all required Housekeeping records, registers, checklists and operational documents.
2. Ensure all required KPIs and Quality Indicators are monitored, documented and maintained within defined standards.
3. Review operational reports submitted by Supervisors and ensure timely corrective actions.
4. Maintain records related to manpower, attendance, OT, cleaning schedules, linen,
inventory, patient feedback, incidents, waste management and quality audits.
5. Participate in internal/external audits, inspections and quality initiatives as required.
6. Ensure compliance with hospital policies, SOPs, accreditation requirements and applicable statutory guidelines.
J. Incident Reporting
1. Ensure timely reporting and documentation of housekeeping-related incidents, accidents, near misses, complaints and other untoward events.
2. Coordinate investigation and corrective/preventive actions for incidents within the Housekeeping function.
3. Escalate critical incidents to the Facility Manager/concerned authority immediately.
K. Patient Experience & NPS
1. Ensure patient feedback is collected and reviewed on a daily basis.
2. Monitor housekeeping-related patient complaints and ensure timely resolution.
3. Identify recurring concerns and implement appropriate corrective actions in coordination with Supervisors and the Facility Manager.
4. Support initiatives to maintain and improve NPS (Net Promoter Score) and overall patient experience.
L. Codes, Training & Participation
1. Ensure Housekeeping staff are aware of and comply with applicable hospital Codes, SOPs and departmental protocols.
2. Participate in hospital training programs, drills, awareness sessions, audits and quality initiatives.
3. Ensure Housekeeping staff participate in mandatory training programs and maintain required competency records.
4. Conduct/coordinate toolbox talks, briefings and on-the-job training as required.
M. Billing & Vendor Coordination
1. Verify Housekeeping-related bills/invoices and supporting documents before submission to the concerned department.
2. Coordinate with outsourced Housekeeping manpower/service providers regarding manpower deployment, service quality, attendance, OT and billing-related discrepancies.
3. Ensure bills are submitted within the defined timelines after proper verification and approval.
N. Reporting
1. Prepare and submit daily, weekly and monthly Housekeeping reports as required.

Required Skill Sets:
1. Robust leadership and management skills, with experience in managing a diverse team.
2. Knowledge of healthcare cleaning and sanitation standards, including regulations related to infectious disease control.
