Key Responsibilities:
1. Salary Expense & Payroll Accounting
- Responsible for accurate and timely accounting of monthly salary and payroll expenses.
- Record salary expenses, employee deductions, recoveries, and related payroll entries in the accounting system.
- Reconcile payroll records with salary payable, bank payments, and General Ledger (GL) balances.
- Coordinate with HR/Payroll teams to resolve discrepancies in payroll data and accounting.
- Ensure payroll-related accounting entries are completed within the monthly closing timelines.
2. Statutory Deductions & Payments
- Maintain proper tracking of statutory deductions from employee salaries, including:
- Provident Fund (PF)
- Professional Tax (PT)
- Employees' State Insurance (ESIC)
- Other applicable statutory deductions
- Ensure statutory liabilities are correctly accounted for and payments are made within prescribed timelines.
- Reconcile statutory deductions and payments with payroll records and ledger balances.
- Maintain supporting records and payment details for audit and compliance purposes.
- Track due dates and proactively follow up to avoid delays, penalties, or non-compliance.
3. Other Salary Deductions & Recoveries & Advances
- Keep track of all non-statutory deductions and recoveries made through employee salaries.
- Ensure deductions are accounted for under the appropriate ledger/account.
- Reconcile deduction balances and ensure amounts collected are appropriately settled or adjusted.
- Investigate and explicit long-outstanding balances, wherever applicable.
- Maintain employee-wise records of salary advances and other employee advances.
- Ensure advances paid are correctly accounted for and recovered/adjusted as per agreed terms.
- Reconcile employee advance balances with payroll deductions on a monthly basis.
- Follow up on outstanding advances and ensure timely recovery or settlement.
- Prepare employee-wise ageing and details of outstanding advances for review.
4. Notice Period Recovery
- Maintain records of notice period recoveries applicable to resigned/separated employees.
- Ensure notice period recovery is correctly considered in Full & Final (F&F;)settlements.
- Account for notice period recovery under the appropriate ledger.
- Reconcile recoveries with F&F; settlement statements and accounting records.
- Track pending notice period recoveries and coordinate with the respective HR teams for timely resolution.
5. Automation & Process Improvement
- Identify opportunities to automate payroll and salary-related accounting processes to the maximum extent possible, with the objective of reducing manual intervention and improving accuracy and efficiency.
- Automate recurring accounting entries, reconciliations, deduction tracking, employee advance tracking, statutory payment tracking, and MIS preparation wherever feasible.
- Work with Finance, HR, Payroll, Technology, and ERP teams to implement system-based accounting and reconciliation processes.
- Develop standardized templates, trackers, dashboards, and exception reports for processes that cannot be fully automated.
- Continuously review existing processes and identify opportunities for simplification, standardization, and automation.
- Establish appropriate controls and validation checks around automated processes to ensure completeness and accuracy.
- Maintain proper documentation of automated processes and ensure minimum dependency on manual workings.
6. Follow-up & Coordination with HR
- Regularly coordinate with the respective HR teams for all pending payroll and employee-related accounting matters.
- Maintain a tracker of open/pending items with clear ownership and ageing.
- Follow up on pending employee recoveries, advances, F&F; settlements, notice period recoveries, deduction clarifications, and other payroll-related matters.
- Escalate long-pending or critical matters to relevant stakeholders for timely closure.
- Drive closure of old/outstanding employee-related balances in the books.
7. Monthly MIS & Reporting
- Prepare and circulate Monthly MIS covering key payroll and employee-related accounting matters.
- Highlight key exceptions, risks, delays, and action items requiring management attention.
- Ensure MIS is accurate, concise, and submitted within agreed monthly timelines.
Key Skills & Competencies
- Strong understanding of payroll and salary accounting.
- Knowledge of PF, PT, ESIC, and other payroll-related statutory compliances.
- Strong reconciliation, accounting, and analytical skills.
- Process automation and continuous improvement mindset.
- Advanced working knowledge of MS Excel
- Ability to prepare and analyze monthly MIS and management reports.
- Strong attention to detail and ability to work within monthly closing deadlines.
- Strong follow-up and stakeholder-management skills.

- Maximum feasible automation of payroll-related accounting and reconciliation processes.

- Timely closure of notice period recoveries and other employee-related outstanding balances.
- Regular follow-up with respective HR teams and reduction in ageing of pending matters.
- Timely reconciliation and closure of payroll-related GL balances.
- Accurate and timely monthly MIS with clear exception and ageing reporting.
- Complete documentation and audit trail with minimal audit observations.
- Continuous improvement in process efficiency, controls, accuracy, and turnaround time.
