Role Purpose

The Operations Manager Mumbai will be responsible for managing and streamlining the end-to-end Sales Order (SO), Purchase Order (PO), vendor coordination, material availability and DC inward/GRN processes, while also owning the operational execution of the online/school specific fulfilment process. The role will directly drive the productivity and performance of the online operations team comprising one Assistant Manager – Online and two Operations Executives – Online.

The Operations Manager will ensure timely creation and maintenance of school-specific BOMs, school web links, corrections/updates, school coordination and tracking of e-commerce material delivery. The role will establish transparent priorities, TATs, dashboards and accountability for all three online operations resources.

Key Responsibilities

SO & PO Management

- Ensure timely and accurate processing of Sales Orders.
- Coordinate timely release of Purchase Orders against approved requirements.
- Monitor pending SOs/POs and ensure timely closure.
- Maintain SO/PO ageing dashboards and flag critical delays early.
- Own PO follow-up with vendors against delivery commitments, escalating high-risk orders.

Vendor Management

- Manage vendor relationships and delivery commitments.
- Negotiate commercial terms, credit terms and service levels within approved authority.
- Monitor vendor performance on delivery, quality and responsiveness.
- Resolve vendor-related issues and escalate critical matters.




- Benchmark vendor terms periodically and identify cost-saving opportunities.

DC Inward & GRN

- Provide functional/dotted-line supervision to the DC Inward team.
- Coordinate material receipt and verification against POs and ensure GRN closes within TAT.
- Ensure timely and accurate GRN completion.
- Monitor inward and GRN ageing and resolve delays.

Online Operations & School Fulfilment

- Lead the Online Operations team— set daily/weekly priorities, TATs, and productivity standards.
- Own school-specific BOM creation and accuracy (grade, subject, SKU, pricing).
- Own school weblink creation, edits, and corrections within TAT.
- Track school-wise order and e-commerce delivery status, resolving exceptions with DC/logistics.
- Maintain a single Online Operations dashboard covering BOMs, weblinks, deliveries, and team productivity.

PI & Cross-Functional Coordination

- Follow up with vendors for timely PI submission.
- Coordinate with Sales, Procurement, DC, Finance & Accounts and Operations.
- Resolve issues impacting material availability, order fulfilment and payment processing.
- Escalate critical operational issues to the Business Head on timely manner.

MIS & Process Improvement

- Maintain SO, PO, vendor, inward, GRN and PI trackers.
- Provide regular operational updates and highlight ageing/issues.
- Identify process gaps and drive improvements in TAT, accuracy and efficiency.
- Support peak-season planning and operational readiness.

Candidate Profile:

- Graduate/Postgraduate in Supply Chain, Operations, Commerce, or related discipline; MBA in Operations/Supply Chain preferred.
- 12–15 years in Supply Chain, Procurement, Distribution, Retail, Publishing, or E-commerce Operations.
