Job Summary

We are looking for a proactive, organized, and results-driven Admissions Sales & Operations Executive to manage course sales, convert prospective candidates into paid enrollments, and handle day-to-day admissions administration.

The primary responsibility is to close sales deals and achieve paid-enrollment targets. In addition, the candidate will maintain accurate records, update counseling notes, follow up on pending training fees, coordinate with trainers regarding batch schedules and student requirements, and ensure smooth communication between candidates, trainers, and the CTC management team.

The ideal candidate should have strong sales and follow-up skills, attention to detail, ownership of administrative tasks, and the ability to work independently in a remote environment.

Key Responsibilities

1. Sales & Enrollment Closures — Primary Responsibility

- Contact prospective candidates generated through digital marketing, social media, referrals, partnerships, workshops, and other lead-generation channels.

- Understand candidates' educational backgrounds, career goals, skill gaps, and training requirements.
- Recommend suitable CTC courses and explain the curriculum, trainer expertise, duration, batch timings, delivery format, fees, and payment options.
- Conduct counseling and sales conversations over phone calls, WhatsApp, and video meetings.
- Follow up consistently with interested candidates and address objections related to course fees, schedules, course relevance, and other concerns.
- Convert qualified leads into confirmed, paid enrollments.
- Follow up with candidates who have expressed interest but have not paid the registration amount or course fees.
- Communicate genuine course benefits and help candidates make informed enrollment decisions without making unrealistic placement or career guarantees.
- Maintain a healthy sales pipeline and prioritize leads based on their interest, readiness, and likelihood of conversion.
- Achieve weekly and monthly paid-enrollment targets and provide regular sales performance updates.
- Admissions Administration & Record Management

- Maintain and regularly update candidate records in Excel, Google Sheets, CRM software, or other designated tracking systems.
- Record counseling notes, candidate requirements, call outcomes, follow-up dates, objections, enrollment status, and next steps after every meaningful interaction.
- Maintain an updated database of new enquiries, interested candidates, enrolled students, pending admissions, and lost opportunities.
- Update enrollment details,

course selection, batch allocation, payment status, and student contact information accurately.
- Maintain daily sales trackers, admissions reports, follow-up lists, and pending-action records.
- Ensure that no interested candidate or significant follow-up is missed due to incomplete or outdated records.
- Maintain organized digital records of student communications, fee commitments, and relevant administrative information.

- Training Fee Collection & Receivables Follow-Up

- Follow up with enrolled candidates regarding pending registration fees, installment payments, and outstanding course fees.
- Maintain a tracker of fees collected, amounts pending, agreed payment dates, and overdue payments.
- Send polite payment reminders through phone calls and WhatsApp, as appropriate.
- Record payment confirmations and update fee-receivable records promptly.
- Coordinate with management to verify payments, resolve discrepancies, and escalate overdue or disputed payments.
- Ensure candidates receive accurate information about approved payment terms and installment schedules.
- Share regular updates on total collections, pending receivables, and overdue payments.
- Trainer Coordination & Student Onboarding

- Coordinate with trainers to confirm batch schedules, session timings, course commencement dates, and changes to the training calendar.
- Share confirmed student details and enrollment information with the relevant trainers.
- Communicate batch schedules, joining instructions, meeting links, and onboarding information to enrolled candidates.
- Maintain updated batch-wise student lists and attendance or onboarding records where required.
- Coordinate with trainers regarding student queries, missed sessions, schedule changes, and training-related concerns.
- Follow up with trainers and students to ensure smooth communication and timely resolution of routine issues.
- Escalate significant student concerns or operational issues to management.
- Daily Operations & Management Reporting

- Prepare and share daily or weekly reports covering enquiries handled, counseling sessions, enrollments closed, fees collected, pending receivables, and follow-up status.
- Maintain a list of high-priority prospects, pending decisions, promised payments, and actions requiring management attention.
- Track reasons for lost sales and identify recurring objections or bottlenecks in the admissions process.
- Coordinate with the marketing and lead-generation teams regarding lead quality, candidate feedback, and conversion opportunities.
- Support routine administrative activities related to admissions, course scheduling, student communication, and sales operations.
- Take ownership of additional sales, coordination,

and administrative tasks assigned by management that support CTC's business objectives.

Qualifications & Skills

- Bachelor's degree in any discipline. An MBA or qualification in Sales, Marketing, Business Administration, or a related field is an advantage.

- 1–3 years of experience in EdTech sales, admissions counseling, inside sales, education sales, customer relationship management, or sales coordination.
- Proven ability to follow up with prospects, handle objections, negotiate professionally, and close sales.
- Strong verbal and written communication skills.
- Good organizational skills and the ability to manage sales and administrative responsibilities simultaneously.
- Basic to intermediate knowledge of MS Excel, Google Sheets, WhatsApp, email, and online meeting platforms.
- Ability to maintain accurate records, update notes consistently, and meet reporting deadlines.
- Strong ownership, attention to detail, time management, and follow-up discipline.
- Ability to work independently from home with minimal supervision.
- Experience in selling professional courses, technical training programs, or career-development services is preferred.

Performance Expectations The role will be evaluated primarily on sales closures, with additional accountability for administration, collections, and coordination.

- Paid enrollments: Initial target of 12–15 enrollments per month, with a stretch target of 20–25 depending on qualified lead availability and conversion performance.
- Counseling activity: Approximately 8–12 meaningful prospect interactions per working day, depending on lead availability.
- Follow-ups: Timely follow-up with interested prospects, pending admissions, and candidates who have committed to making payments.
- Record maintenance: Update counseling notes, lead status, payment commitments, enrollment details, and follow-up dates on the same working day.
- Fee receivables: Maintain an accurate pending-fee tracker and follow up according to agreed payment dates.
- Trainer coordination: Ensure timely communication of confirmed enrollments, batch details, and student onboarding requirements.
- Reporting: Submit accurate daily or weekly sales and operations reports within agreed timelines.

Performance targets will be reviewed periodically based on lead quality, available opportunities, enrollment conversions, and business requirements.
