Role summary

The Purchase Assistant supports the Purchase function in buying raw materials, consumables and services on time, at the right quality and price, so production never stops for lack of material.

Key responsibilities

Purchasing and orders
Prepare and issue purchase orders for raw materials (spring steel wire, resins, PP compounds and others), consumables and services, as per the production plan and approvals.
Collect and compare quotations from suppliers, and prepare comparison statements for approval.
Maintain the purchase register / ERP entries accurately and on time.

Supplier follow-up and delivery
Follow up daily with suppliers on delivery commitments. Escalate delays early to the Purchase Head.
Coordinate with Stores on GRN, receipts and shortages, and with Quality on rejected material and returns.
Track open POs and pending deliveries, and share a daily status report.

Data and reporting
Maintain the price history for all RM and consumables, and flag price increases.
Support the monthly RM and consumables budget and the 3-month price forecast.
Provide data for the supplier scorecard (on-time delivery, rejections) based on actual PO and GRN records.





Documentation and coordination
Maintain supplier records: contacts, agreements, test certificates and approvals.
Coordinate with Accounts on invoice verification and payment follow-up.
Support current supplier development and sample procurement for recent projects.

Requirements
Education: Diploma or degree in any discipline (Mechanical, B.Com or BBA preferred)
Experience: 3–5 years in purchase in a manufacturing company. Automotive experience is a plus.
Skills:
Robust MS Excel (VLOOKUP, pivot tables, basic formulas)
Good communication by phone and email
Basic knowledge of POs, GRN and GST invoicing
ERP or Tally experience is an advantage
Languages: Tamil and English. Hindi is an advantage
