Experience:
5-8 years Engagement: Independent contractor, full-time hours, paid monthly

Location:
Remote, India Shift: 1:00 PM 10:00 PM IST approx. 34 hours overlap with US Central morning. Not a night shift. Industry: Medical Devices / Healthcare Products / B2B Distribution Functional Area: Marketing & Communication Marketing Operations / Marketing Automation This is our first dedicated marketing operations hire You will report to the CEO and work alongside our Sales Operations Manager. We run an outbound tele sales operation of roughly 20 callers across six product campaigns, serving several hundred active customer accounts and adding new accounts every month. Everything runs in HubSpot. What we actually run
- read this before applying Six campaigns, each a product line sold into a facility type Every campaign is phone-led. Email does not replace the call it multiplies it. With 20 callers covering several hundred accounts and growing, our reps highest-value work is winning new accounts. Email is how we keep the existing base growing at the same time. The problem you're being hired to solve A hospital is not one customer its four or five buying centres. One facility may have the operating room buying one of our lines, imaging buying a second, sterile processing a target for a third, and every department a candidate for a fourth. Five campaigns, four departments, six contacts. Today those campaigns run as separate lists. That breaks the moment a product crosses every campaign at once: multiple reps calling one hospital in a week, no view of how much of our range an account actually buys, and no way to use an existing operating-room relationship to open the sterile processing door. Your job is to make the system account-aware while keeping campaign execution clean. What you'll own
• Restructure HubSpot. Its populated and in use. You will rebuild the object model, deduplicate facilities, and add the properties that make cross-sell queryable — facility type, department, lines purchased, departments penetrated. You are rebuilding a live system, not configuring an empty one.
• Get sales data in. Order history is not yet in HubSpot. You’ll define the requirements for the integration and, in the meantime, work from order-line-level exports so that what an account buys comes from invoices rather than memory.
• Build sample tracking. Our entire motion is sample trial order, and we currently cannot measure where samples die.

You’ll make sample-to-order conversion visible by product and by campaign.
• Build the cross-sell engine. Saved, self-refreshing lists: who buys one line but not the adjacent one; which hospital accounts have a department we’ve never called; which accounts have an operating-room contact but none in sterile processing; who hasn’t yet been offered our newest line. Today these are built by hand. They shouldn’t be.
• Build reporting infrastructure — account penetration, lines per account, campaign conversion, sample performance. Our Sales Ops Manager uses it; you build it.
• Build the email programmes that support the floor. Six, in build order: 1. Post-sample follow-up — build this first. A sample that doesn’t get a timely call simply sits. Automated touches at day 3, 7 and 14, attached to our single most significant conversion step 2. Cross-sell introduction — an account buys one line, email introduces the adjacent one, the rep follows up with anyone who engages. The email warms the call 3. Reorder nudges, timed to consumption cycle 4. Referral requests, triggered on positive moments — a reorder, a converted sample — with referral source tracked on the account record 5. Reactivation for accounts that ordered once and went quiet 6. Post-delivery thank-you carrying one adjacent product
• Campaign operations — pipelines per campaign, lifecycle stages, and contact governance so no facility is called by three reps in one week.
• Protect deliverability. Two business units sending to a growing list of accounts. The higher-volume clinic-facing side must not damage the hospital side’s sending reputation — separate subdomains, warmed and monitored independently. Where this role starts and stops You own: HubSpot architecture, data, integrations, segmentation logic, campaign infrastructure, reporting systems. Our Sales Operations Manager owns: the callers — training, coaching, daily list assignment, KPI review, scripts. She is your main internal customer. You make her job systematic; you do not manage her team. Must have
• 5–8 years in marketing operations, revenue operations or CRM operations in B2B

• Hands-on ownership of HubSpot (Salesforce, Marketo or Zoho acceptable). Critically: experience inheriting a messy, live CRM and restructuring it — not only greenfield builds
• Experience supporting an outbound calling or inside sales team, not purely digital marketing
• Strong data work: deduplication, data modelling, object design, advanced Excel or Google Sheets. SQL is a significant plus
• Experience integrating an external data source — ERP, order system, or data warehouse — into a CRM
• Built segmentation and list logic that runs automatically rather than by manual export
• Built and run lifecycle email programmes — triggered sequences tied to customer behaviour, not newsletters or content nurture
• Email deliverability and sending-domain management — subdomain setup, warming, SPF/DKIM/DMARC, list hygiene, complaint and bounce monitoring
• Built reporting and dashboards from nothing
• Excellent spoken and written English. You will be on live calls with US stakeholders
• Able to own outcomes with minimal supervision across a time difference Nice to have
• Multi-brand or multi-business-unit environments — HubSpot Business Units, or managing separate customer bases in one portal
• Healthcare, medical device, pharma or B2B distribution
• Direct experience with US-based companies or clients
• Python or scripting for data reconciliation Who this is not for Content marketers, SEO or performance marketers, social media managers, or anyone whose HubSpot experience is as an end user rather than an administrator. This is also not a people-management role — you will not be managing callers. How we'll evaluate you 1. Application with current CTC, expected monthly contractor fee, and notice period 2. 30-minute video call in English 3. Paid exercise, approximately 6 hours. A real data task using sample account data. Paid regardless of outcome 4. Final call with the CEO. Apply with Your CV, plus a short note covering:
• A CRM you inherited in poor shape — what was wrong with it, and what you did
• The largest outbound calling team you've supported, and what you built for them
• One external data source you integrated into a CRM, and what broke
• A triggered email programme you built that was tied to a sales team's activity — what triggered it, and what it produced Applications that do not address these four points will not be reviewed.
