Position : Front Desk & Admin Executive

Location : Vasai East, Vasai-Virar (Preferred: Borivali to Virar)

Reporting To : Senior HR Executive

Employment Type : Full-Time

Salary Range : ₹25,000 – ₹30,000 per month (commensurate with aptitude & experience)

ROLE OVERVIEW

We are looking for a proactive, well-presented, and detail-oriented professional to serve as the first point of contact at our Vasai East office. This role combines front desk management with office administration, document drafting, and document control — making it critical to the smooth day-to-day functioning of the office and the professional image projected to clients, investors, and business partners.

ROLES & RESPONSIBILITIES

A. Front Desk & Reception

- Serve as the first point of contact — greet clients, investors, and visitors professionally
- Manage incoming calls, route inquiries, and maintain a visitor logbook
- Handle incoming and outgoing couriers, dak, and dispatch records
- Ensure the reception area and meeting rooms are clean, presentable, and ready at all times
- Coordinate refreshments and setup for client meetings and internal events

B. Office Management

- Oversee daily office operations including cleanliness, maintenance, and utility coordination




- Monitor and replenish office supplies and consumables; maintain inventory records
- Maintain asset register (laptops, peripherals, keys, office equipment) and handover logs
- Liaise with building society, security agency, housekeeping staff, and MSEB
- Coordinate vendor visits, collect and verify bills, and forward to accounts for processing
- Schedule and manage meetings, appointments, and travel plans for Directors

C. Document Drafting

- Draft professional business correspondence including letters, notices, and internal memos
- Prepare and format real estate agreements, MOUs, offer letters, and legal documents under guidance
- Assist with preparation of company presentations, reports, and meeting minutes
- Proofread documents for accuracy, grammar, and formatting before dispatch or filing

D. Document Control & Record-Keeping

- Maintain a structured filing system for all physical and digital documents (agreements, correspondence, compliance records)
- Manage version control and access permissions for documents stored on Google Drive
- Track status of real estate agreements — drafting, review, signing, and archiving stages
- Handle cheque couriering, document collection, and follow-up with external parties
- Ensure confidentiality and security of all sensitive company documents
- Support VVCMC, statutory,



and compliance document submissions as required

E. General

- Handle additional tasks and responsibilities as assigned by the Senior HR Executive or Directors

REQUIRED SKILLS & QUALIFICATIONS

- Graduate in Business Administration, Commerce, Arts, or relevant field
- Proficiency in MS Office suite (Word, Excel, Outlook, PowerPoint) and Google Drive (Docs, Sheets, Drive)
- Experience in drafting business correspondence and real estate or legal documents preferred
- Strong command of written and spoken English, Hindi, and Marathi
- Professional telephone etiquette and client-facing interpersonal skills
- High attention to detail and accuracy in document preparation and record-keeping
- Strong organisational and multitasking abilities in a fast-paced office environment
- Punctual, reliable, well-presented, and discreet in handling confidential information
- 1–3 years of relevant experience preferred; freshers with strong aptitude may apply
